  • Microsoft Excel trip itinerary template

  • Canva trip itinerary template

About This Template: 7 Main Components

There are seven main components to this template. I have included each because it contains the information I reference most while traveling, organized in a way that helps me figure out when my trip schedule is overloaded or lacks the right amount of buffer time between activities or transit.

The 7 trip itinerary template components include:

  • Header. For a destination image and title. Replace this image with your own.
  • High-level trip summary: An at-a-glance summary of essential trip information—the number of travelers, dates of travel, flights (or other transit), and location(s) of the trip.
  • Travel day column. Know which day of your trip an activity is happening.
  • Day of the week column. Know the day of the week and date to ensure lodging, tour, and transfers are booked correctly.
  • Activities column. A place to capture details for all activities and lodging. Hyperlink text to websites for additional information.
  • Location(s) column. In this space, recap the destinations for each day, link to lodging websites, and include important notes such as included meals or overnight flights.
  • Lodging contact info sheet. A second tab or sheet for additional lodging information is included in all template files except for Microsoft Word

Since the detail on this template prints small, consider saving it to a PDF file , allowing you to zoom in as needed and easily share it with others.

Additionally, reference your itinerary offline when you save a PDF version of this itinerary to your phone to an app like iBooks (Apple users) or Google Play Books (Android users). Having an offline itinerary comes in handy in travel situations when you have limited or zero cellular or wi-fi connection.

Microsoft Word Template

6 Editing Tips (Word Template)

As Microsoft Word is the most universally used software program, it is the trip itinerary template file I share first. Here are six essential editing tips when using the Microsoft Word version of this template.

Header area editing (Word template)

  • To change out the image at the top of the itinerary, right-click on the image and select Change Picture. Select from a stock photo or upload your own image. I am a Canva user and found this image there, added a text overlay, and saved it using the dimensions 2000x458px.
  • However, you can upload any size image file you would like. If your uploaded image is not the correct size, click on it and drag its diagonal corner to resize and fit the page. If you find it too tricky to insert a new image, delete the existing one and type your preferred itinerary title. It might not look as pretty without a picture, but the template will still convey all essential information.

Main itinerary body editing (Word template)

I created this itinerary using a table in Microsoft Word, hiding vertical gridlines to achieve a cleaner look.

  • To edit text , select and delete existing text. Then, type text as you normally would in Word documents.
  • To add a table row , select a row by dragging your mouse to highlight it, then right-click and choose Insert to add a row above or below. Repeat the process to delete a row . Find one additional blank row at the bottom of the template.
  • To add or change hyperlinks , select the word(s) you would like to link (or unlink) to a website, right-click, select Hyperlink, and from the sub-menu, select Edit or Remove Hyperlink.
  • To add back vertical gridlines , select the entire table, right-click, and select Borders and Shading to adjust the design with the gridline configuration you like best.

Microsoft Excel Template

Click on the image below to download a free version of this trip itinerary template containing actual details from a visit to Iceland in Microsoft Excel.

9 Editing Tips (Excel Template)

As Microsoft Excel is more specialized software, I share nine file-specific tips, knowing that the traveler who prefers to download this file type is likely already familiar and comfortable editing in Excel.

Header area editing (Excel template)

To change out the header image at the top of the itinerary, right-click on the image and select Change Picture. Select from a stock photo or upload your own image. I am a Canva user and found this image there, saving it using the dimensions 2000x458px. Once uploaded, I added the semi-transparency in Excel.

However, you can upload any size image file you would like. If your uploaded image is not the correct size, click on it and drag its diagonal corner to resize and fit the page . If you find it too tricky to insert a new image, delete the existing one. It might not look as pretty without a picture, but the template will still convey all essential information.

  • Though—if you upload a new image and want to keep the semi-transparency , double-click on your picture to get to the Picture Format menu. Find the Transparency icon in the header menu and adjust it to your preference.
  • To change the header text , click on the text in the Text Box and edit all elements.

Main itinerary body editing (Excel template)

  • To insert bullet points , copy these from an existing cell in the document. I created and copied the bullet points from a Word document and pasted them into Excel.
  • All cells are set to wrap text and are oriented to align left and at the top of the cell. If this changes or the format structure is lost, right-click on any cell and select Format Cells to reset the cell structure to your preference.
  • To start a new line of text in a cell when using a Mac, press the Option+Return buttons on your keyboard. Using a PC, press the Alt+Enter buttons or get more tips from Microsoft Help .
  • To insert hyperlinks , select the cell you would like to hyperlink, and from the main menu, select Insert. From that submenu, choose Link. Microsoft Excel—from what I can tell (please correct me in the comments if you know how to bypass this)—does not allow users to link individual text within a cell. Google Sheets does, and it is one of the reasons I prefer using that format type.

Lodging contact tab editing (Excel template)

Note a second tab in this Excel template for lodging details—set to print landscape (horizontally). Edit all elements in the same way as the main itinerary.

Google Sheets Template

Click on the image below to download a free version of this trip itinerary template containing actual details from a visit to Iceland in Google Sheets. This image links to a read-only document.

To copy it, click File from the main menu and select Copy . Doing this will create a copy of the document on your Google Drive. You will want to be logged into Google when you do this.

7 Editing Tips (Google Sheets Template)

Google Sheets is my preferred file type to create, edit, and share new trip itineraries. I find its slimmed-down menu is easier to use than Excel. Plus, I appreciate the ability to highlight and hyperlink specific text using Sheets vs. having to link an entire cell (in Excel).

Additionally, I find this file type easier to share as not everyone uses Microsoft documents. And I find it convenient since I already use Google Drive to manage my business documents and keep my travel information organized . Here are seven things to know when editing this template.

Header area editing (Google Sheets template)

To change out the header image at the top of the itinerary, right-click on the image and select Change Picture. Select from a stock photo or upload your own image. I am a Canva user and found this image there, added a text overlay, and saved it using the dime nsions 2000x458px.

However, you can upload any size image file you would like. If your uploaded image is not the correct size, click on it and drag its diagonal corner to resize and fit the page . If you find it too tricky to insert a new image, delete the existing one and type your preferred itinerary title. It might not look as pretty without a picture, but the template will still convey all essential information.

Main itinerary body editing (Google Sheets template)

  • All cells are set to wrap text and are oriented to align left and at the top of the cell. If this changes or the format structure is lost, select a cell and choose Format from the main menu.  From the drop-down menu, select Wrapping or Alignment to adjust to your preference.
  • To start a new line of text within Google Sheets when using a Mac, press the Command (or Control or Option)+Return buttons on your keyboard. Using a PC, press the Alt (or Control) +Enter buttons.
  • To insert hyperlinks , select the specific text you would like to hyperlink, and from the iconographic menu, just below the main menu, select the three vertical dots at the far right for more editing items. Select the Link icon to insert and link to your preferred URL. Or choose Insert from the main menu, then select Link.

Lodging contact tab editing (Google Sheets template)

Note a second tab in this Google Sheets template for lodging details—set to print landscape (horizontally). Edit all elements in the same way as the main itinerary.

Canva Template

Click on the image below to access and edit a free version of this trip itinerary template in Canva.

Although Canva is an excellent and intuitive design software usable by non-professionals, it requires prior knowledge and experience to use it comfortably. I do not recommend downloading and editing this file type unless you are already comfortable creating and editing in Canva.

If you are, have fun! You have full editing capability to change any element of this two-page trip itinerary template, which includes a second page for lodging contact information.

Tips for duplicating the template: Click the above image, then click the “Create with Canva” button in the upper right-hand corner. When you do this, it should take you to your Canva account and let you copy, and then edit a duplicate version of the template.

2 Recommended Online Itinerary Builders

If you prefer using an app or an online itinerary builder to create your itineraries, TripIt and Wanderlog are the top two options. I have used TripIt before and found it handy—though short on the functionality I prefer. Despite easy integration with travel booking uploads, the program was less flexible than I would have liked, still requiring some manual uploading and editing.

I have not used Wanderlog, though I have repeatedly seen it recommended highly by frequent travelers and travel professionals. To see which is right for you, scan through this Reddit thread of users comparing notes on each.

4 More Places to Find Travel Itinerary Templates

In addition to the free templates I share, are four more places to find free or affordable trip itinerary templates.

  • Microsoft Excel, Word, and Google Sheets free templates

Find multiple travel itinerary templates on Jotform .  Edit them using its web-based a PDF editor. Then, download your edited form after you create an account. You get five complimentary form downloads with a free membership .

Find multiple trip itinerary templates on Canva .  There are several free options. To edit and download them, create a free account on Canva if you do not already have one. Some templates are restricted to paid Pro Canva users only.

Microsoft Excel, Word, and Google Sheets

Microsoft Excel, Word, and Google Sheets offer free templates. These software programs offer several free travel itinerary templates. To access these complimentary templates, choose File, then select Create New from Template or New from template gallery from the main menus. Search for templates related to trips or travel to find one that fits your needs.

Several shops on Etsy sell downloadable trip itinerary templates for a low price, often $5 or under. Some designs are beautiful. Several come packaged with multiple detailed pages that could be perfect for your needs or be superfluous. Search digital download options here to see what fits your preferences best.

Hi Kathleen, thanks for letting me know. I really appreciate it. I just re-updated the Canva link. Hopefully this will work. I’ll email you the link too, that way if you have any issues (or if it is working) you can let me know directly. Thank you! Janice

Hi, I am also getting the Canva template preview that, once you click the link, just takes me to a generic Canva page. I was wondering if you have the direct link at all, or perhaps the file name?

Hi Nicole, thanks for messaging about this. Happy to troubleshoot. I am sorry you having issues. Since you would like to use this template I’ll take an educated guess that you are familiar with Canva and already have an account? When you click the “Create with Canva” link in the upper right hand corner it should take you to your account and let you edit a version of this template. I’ll check in with you via email as well to see if this is happening. If not, I’ll email you a direct link and dig in to adjust settings. Or feel free to email me directly at (janice at gatherandgotravel dot com.). Thank you!

Hi! I was hoping to use your Canva template but it linked to a preview that wouldn’t open the template. I also couldn’t find it by searching.. Is it available anywhere?

Essential Elements in a Travel Itinerary

So you’re convinced that a travel itinerary template is a good idea. Great! But what should you include in it? Don’t fret; here’s a list of the  key things to put in your travel plan .

  • Title and Dates: What’s the Trip For?

Start with a striking title that sums up your trip. Are you going on a “Summer Adventure in Hawaii” or a “Weekend Getaway in Paris”? Include the dates so you always know the timeframe.

  • Names: Who’s Going?

If you’re traveling with other people, write down everyone’s name. It’s an easy way for everyone to know they’re looking at the right plan.

  • Departure and Arrival: Take-Off and Landing

Include details about when and where you’re starting and ending your journey. Include times, places, and how you’re getting there. Plane? Train? Automobile?

  • Transport Info: All Aboard!

Note any flight numbers, train cars, or other key details. It’s also smart to list any reservations and helpful phone numbers in case of delays.

  • Lodging: Home Away From Home

Where are you staying? Include the name, address, and check-in/check-out times for each place you sleep.

  • Activities: The Fun Stuff!

What’s a trip without cool stuff to do? List all the tours, visits, or shows you plan to attend. Add times and places so you remember.

  • Meetings: Can’t-Miss Appointments

Are you mixing a little business with pleasure? Include any meetings or important appointments you have. Who, what, where, and when—it all goes here.

  • Meals: Yummy in My Tummy

Planning to eat at that must-try café? Put it in the itinerary.

  • Free Time: Do What You Want

It’s your trip, after all! Include some blocks of free time for spontaneous fun.

  • Emergency Contacts: Just in Case

Include some emergency contacts, like local hospitals or a trusted friend back home.

  • Checklist: Remember!

Add a small list at the end for any last-minute things you need to do or bring. Passport? Snacks? It goes here.

That’s your  travel itinerary essentials  covered! With everything in your template, you’re ready for an awesome, stress-free trip! ????

Tips for Crafting a Useful Travel Itinerary

It isn’t just about jotting down names and places. Here are some tips.

Be Realistic: Time Matters!

Always consider how much time each activity will take. Keep your day manageable. You want time to enjoy the places you visit!

Group Activities by Location: Smart Mapping

Put things that are close to each other on the same day. This way, you spend less time moving and more time doing.

Always Have a Plan B: Be Flexible

Sometimes, things go differently than planned. Maybe it rains, or a place is closed. Have a backup plan, so you’re never stuck with nothing to do.

Check Opening Hours: No Unwanted Surprises

Imagine showing up at a museum you’re excited to visit, only to find it’s closed on Tuesdays. Check opening times in advance to avoid this.

Share It: Keep Everyone in the Loop

If you’re traveling with others, ensure everyone has a copy of the itinerary. You could even make a shared online version.

Local Customs and Laws: When in Rome.

Check for any local customs, rules, or laws you should know about, like dress codes at religious sites.

Remember Time Zones: Sync Up!

If you’re crossing time zones, adjust all your times so you’re always on local time.

Add Some Breathing Room: Take It Easy

Don’t schedule something every minute of every day. You’ll need some downtime to relax and soak it all in.

Include All Confirmation Numbers: Quick Access

For flights, hotels, and activities that require booking, include all confirmation numbers for quick and easy access.

Double-Check All Details: Be Sure, Be Safe

Before you finalize your itinerary, double-check all times, dates, and reservations.

Print and Digital: Best of Both Worlds

Have both a printed copy and a digital copy available. Technology can fail, and you might only sometimes have Wi-Fi.

Keep it Handy: Easy Access.

Put your itinerary somewhere easy to get to. Save it on your phone or put it in a pocket in your bag.

Not Checking Operation Hours : Imagine going to a museum only to find it’s closed. Always  check the working hours  of places you want to visit.

Skipping Backup Plans : Weather changes. Plans fall through. Having  no Plan B  can ruin your day.

Bad Formatting : If your itinerary is hard to read, it’s almost useless. Make sure you use  clear and easy-to-read formats .

Not Updating : Sometimes plans change.  Only updating your template  can make sure you get all the things.

Ignoring Local Customs and Laws : Failing to account for local customs or laws can be embarrassing and sometimes problematic. Always do your  basic homework .

Not Double-Checking : A small mistake in flight numbers or hotel booking IDs can be a big hassle. Always  double-check your details .

Avoiding these common mistakes can make your itinerary a powerful tool for a smooth and enjoyable trip!

Traveling is more fun when you’re organized. Using a  travel itinerary template  can help a lot! So why wait? Download a free template today!

The Ultimate Free Travel Itinerary Template

The Ultimate Free Travel Itinerary Template

Over the years, I’ve used Excel spreadsheets to help organize all trip details. Saving them offline as a PDF has also meant that I can easily keep track of my itinerary and confirmation numbers while on the go. It was important to me that I could access all the necessary information while on the road.

The Ultimate Free Travel Itinerary Template

So I’m sharing with you a free travel itinerary template that makes travel planning easy. This travel itinerary template is for keeping track of the major details. One of the more frequently requested questions was how to plan and keep a trip organized, so this here has been the way I visually do so. Being organized for me has changed the travel experience. Plus, having all of the travel itinerary details with me at all times means less stress.

This travel itinerary template is designed to keep track of the most important parts of an itinerary. It’s not a home for every cafe or sight you want to see. The itinerary is designed to keep track of key components of an itinerary like flights, hotels, transfers, and a daily schedule.

Below, you’ll find the download for the free travel itinerary template that includes an example itinerary, and some tips for how to use it!

What’s In the Template

  • Instructions on how to use the itinerary template.
  • The itinerary template for you to use.
  • A sample itinerary template so you can see what a finished itinerary looks like.

A Guide to Using the Travel Itinerary Template

Thank you for downloading my travel itinerary template! I hope it helps you plan out your trips and keep things organized (plus stress-free).  There are a few key tips to using the itinerary template that will help when using it and while on a trip.

Why A Travel Itinerary

The whole reason for having this itinerary is so you can keep your travel plans readily available while on the go. It is also very helpful while planning your trip in order to see what days are there and any holes in the booking sections. Ultimately, this template helps keep an itinerary plan. Important confirmation numbers and transfers are key to a smooth trip. I find that visually, a day by day list keeps it the most simple.

Uses for the Travel Itinerary Template

  • Road Trip Itinerary
  • Vacation Itinerary
  • Business Trip
  • Bachelorette or bachelor’s party

How to Use the Travel Itinerary Template

The Itinerary Planner tab is designed for you to write over my prompts. Where you see the words “insert” is the location for each data field. You can find my Example Itinerary on the final tab to give you an idea of what a finalized itinerary will look like.

Always start with your flight details . Once you know your full dates, add in your departing and return flight information, including confirmation numbers.

Next, figure out your general itinerary and label the number of nights in each destination . List out your days and dates into the sheet so you know how much time to plan for. This will create blocks for each destination to help you stay organized. In each block create placeholders for important details like transportation, accommodations, and necessary reservations that you need to book. If you still need to book certain parts of a destination, you can fill a block with bright red or yellow to remind yourself to come back to it later. Once you make a reservation, add it to the appropriate block with the most important details like reservation name, time, and confirmation number.

Reminder: This template works best when it includes only the most vital planning details. Your goal is to keep it condensed and easily readable.

How to Keep the Travel Itinerary With You

It is printable! One option is to print this sheet or to save it offline as PDF.

Saving the Travel Itinerary Offline

1. Save it as a PDF.

Go to “File” and select “Save As” Select “File Format” and select “PDF” Save to Desktop

2. Send it to your own email as an attachment. Once received, open the PDF on your phone and take screenshots. Save the screenshots as photos so you can access the itinerary without the internet.

3. Another option is to store the itinerary on Dropbox as an offline file (must have the Dropbox app on your phone). Once it is loaded on the Dropbox app, select the option to store it offline. You can then access it without data or the internet.

These are the sites I use most to book my own trips. Using the links below is a great way to support Bon Traveler’s travel journalism at no extra cost to you . If you need help organizing your itinerary, get my free travel itinerary template here .

1. Book Your Flights

I use Skyscanner to find the best flights. It searches 100s of airlines and websites across the globe to ensure you’re not missing out on any route options or deals.

2. Book Your Accommodations

I use Booking.com for hotels and guest houses. They have the biggest inventory and consistently offer the best rates.

3. Book Your Tours & Experiences

I use Viator or Get Your Guide to find the best tours and experiences. They are my favorite tour search engines. I always check both as their inventory varies depending on the destination.

4. Book Your Rental Car

Self-driving is the best way to explore most destinations. I use Discover Cars for our rental cars, select full coverage insurance, and opt for a reputable company like Alamo, Hertz, or Sixt.

5. Don’t Forget Airport Lounge Access

I use Priority Pass to gain access to 1,400+ VIP lounges and airport experiences worldwide. The Priority Pass app is the first thing I check when I have a layover. I’ve been a member for over a decade, and having a comfortable place to relax before and between flights makes air travel so much more enjoyable.

6. Don’t Forget Travel Insurance

I never leave the country without travel insurance. It provides comprehensive protection in case anything goes wrong (ie. illness, injury, theft, and cancelations, etc.). I use it frequently for my travels to stay protected.

My favorite companies that offer the best coverage and rates are:

  • World Nomads (best for all-around)
  • Safety Wing (best for frequent travelers)

How to Write a Travel Itinerary (Template and Tips)

Being able to write a good itinerary is a powerful tool in the travel industry. A travel itinerary isn’t just a list of things to do. It’s a stop-by-stop break down of how a traveler should spend their time.

Whether you’re a travel agent, blogger, content writer, or anything in between, itineraries are fundamental.

Creating effective itineraries is also a valuable skill if you’re a traveler. If you can craft a compelling trip plan, you’re in for a holiday that will show you and your loved ones an amazing time.

Why take our advice? We’re highly experienced in the itinerary game. 🙂 The Travel Tractions content team has crafted over 500,000 words worth of travel itineraries in the last 3 months alone.

We know our stuff, and we’re here to share it with you. The following is a detailed guide on how to make a travel itinerary.

Travel Itinerary Template

A travel book on a table surrounded by other travel related items

An itinerary will pretty much always be broken down into days (unless it’s a 24-hour itinerary). Each day is further broken down into individual stops , which are typically the recommended points of interest and attractions.

Call to action which reads: Looking for expertly-written, SEO-friendly content? View our content writing packages here.

The days and stops are the meat of the itinerary, but most itineraries will be supplemented with additional information to further help the reader.

Have a look at how we added a practical packing list in this 3 day London itinerary .

We recommend structuring your vacation itinerary in a similar way to the following:

Introduction

A sandy peninsula in the maldives surrounded by crystal blue water

Every good blog post needs an introduction. For your itinerary, this will be a brief overview of the destination and why it’s an attractive place to visit. Sell the itinerary here. Give the reader a good reason to stay engaged and continue reading.

Brief Overview

Offer a bullet-pointed breakdown of the itinerary, outlining the stops. This allows the reader to understand if it’s right for them before reading in full.

Day 1, etc.

Laptop on a table surrounded by magazines

This is where you lay out the stops for each day. Give some insightful and interesting information about each stop.

The aim here is to get them excited about what you’re suggesting / offering. Don’t overwhelm them with information, just whet their appetite.

Make each stop a heading, and include useful information such as opening hours, cost, and which kind of traveler is best catered for here. You can add must-visit food stops as well, or simply leave that choice up to the reader.

Other Useful Information

In this section, offer some extra information that will help the user get the most out of their experience. Some things you can add include:

  • Tell the reader a bit about how to get around, transport options, and things to be prepared for.
  • Discuss the best places to stay and suggest a few options for accommodation that you know are great.
  • Make some restaurant recommendations and mention any other foodie stops that haven’t made it into your itinerary stops.
  • Include a packing list if you feel it’s an important aspect (or write a separate packing list post and take advantage of some internal linking).

Hot air balloons at sunset in Bagan

This section exists to help close the itinerary in a satisfying way. Offer a brief summary and some final thoughts. Reaffirm the reasons why the destination is attractive, and why your itinerary is the best on offer.

Important Considerations for Writing an Itinerary

So, now you’ve got the outline for a successful itinerary. But you’ll need to fill this skeleton with high-quality content in order to produce something valuable. Taking into account the following considerations and tips will help you do so.

Decide the Length of the Itinerary

Before writing anything, you’ll need to decide the length of your itinerary. Are you offering an itinerary for three days? five days? one week?

The best option will largely depend on the size of the destination and how much it offers in terms of things to do. For example, most travelers will probably spend at least a week in Bali but perhaps just two or three days in Amsterdam.

This can generally be determined with some logical thinking or past experience. But a bit of keyword research can really help uncover what your audience is truly looking for.

If you already have an idea of what you’d like the reader to see and do, you can base the length of the trip on the time it’ll take them to see it all.

Decide on the Stops & Attractions

Map on a table surrounded by a laptop and cameras. Two people sat around it.

Once you’ve decided on a number of days, you’ll need to figure out how the reader should fill their time.

Ask yourself questions like:

  • What are the most popular landmarks, attractions, and points of interest?
  • What will offer the most memorable experience?
  • Are there any unheard of spots that will enrich the experience and make it unique?

Deciding on the stops can be done through a combination of experience, prior knowledge, and research.

What’s Achievable?

How much can the reader realistically fit in the time allotted? We know it’s easy to get excited about all the amazing things that a travel destination has to offer. But it’s important to keep it realistic.

The last thing you want is to over-promise on what can be achieved during a trip, only to leave the reader rushing from one attraction to the next without time to appreciate each one. They could even end up abandoning the itinerary altogether.

Plan Out Logical Routes

A person holding a map

It’s very important that you consider the geography of the destination when structuring an itinerary. You need to plan out logical routes between stops in order to minimize travel and maximize efficiency. If two or more attractions are close to one another geographically, it only makes sense to visit them at the same time.

Use your knowledge of the area in combination with Google Maps to plot out a route for each day’s itinerary.

Offer Insider Tips

Try to offer unique insights and ideas, insider tips, and some off-the-beaten-track gems.

The reader wants to know that they’re in reliable and experienced hands. Unique and valuable guidance will also help your itinerary stand out against those offering more generic advice.

You can provide these at any point throughout the itinerary. Wherever they fit best.

Be Specific and Unambiguous

A beach with palm trees and dramatic sky in the background

Itineraries provide insightful guidance to those who want to be guided. To those who want their trip to be planned for them.

Therefore, it is your job to guide them fully . Don’t offer too much in the way of flexibility. Display conviction in your chosen stops. Show confidence that if they follow your itinerary to a T, they’ll have a great time.

Include Captivating Images

Macbook, Nikon camera, and iPhone sitting on a rustic desk

High-quality images transport the reader to the destination before they’ve left their seats. They’re one of the strongest mediums for generating excitement and anticipation for an upcoming trip. They also help break up long blocks of text.

Including images frequently is a great way to keep your reader’s attention and enhance their experience.

You can use images from your own trip, or curate some top-notch stock images .

Implement SEO

Data-focused, strategic SEO (Search Engine Optimisation) underpins all of our content. And if your itinerary is being written for the web, it should underpin yours too. Good SEO can help ensure that your itinerary is seen by as many people as possible. And if you’re in the travel business, getting your travel material seen should be a top priority.

Women preparing a travel itinerary

Choosing The Right Format For Your Itinerary

The first step in writing a travel itinerary is to choose the right format and structure. You need to make it as easy as possible for your readers.

Here’s what to keep in mind:

  • How many days will you be covering with your itinerary
  • How many details do you wish to provide
  • How can you provide more value to your readers

Once you know precisely what you wish to provide to your readers, you’ll need to structure your itinerary.

  • Introduction
  • Overview (optional)

Men preparing a travel itinerary

The Introduction

The introduction of your itinerary should be short, sweet, and to the point. After all, you don’t want to bore your readers before they even get to the good stuff.

In your introduction, you should:

  • Briefly describe what the itinerary will cover
  • Include the number of days or nights
  • Mention any special events that will be taking place
  • Give a brief overview of the itinerary’s highlights

For example:

Planning on visiting Los Angeles? This 3-day itinerary will take you to the best sights and attractions in Los Angeles. From iconic Hollywood landmarks to world-famous museums, there’s something for everyone in LA.

The Overview

After the introduction, you may want to provide an overview of the itinerary. This is especially helpful if your itinerary covers multiple days or a large area. The overview or summary is optional, but it’s an excellent way for your readers to know what to expect.

In the overview, you should:

  • Briefly describe the activities for each day
  • Include a map of the area (if possible)
  • Mention any transportation changes
  • Give an estimated budget for the trip
Day 1: Arrive in Los Angeles and check into your hotel. Spend the afternoon exploring Hollywood Boulevard and visit some of the famous landmarks. In the evening, have dinner at one of the many restaurants on Melrose Avenue. Day 2: Start the day with a visit to the Griffith Observatory. Then, head to Downtown LA and explore the area around Olvera Street. In the afternoon, visit the Santa Monica Pier and spend some time at the beach. End the day with a walk through Venice Beach. Day 3: On your last day, visit some of LA’s world-renowned museums like the Getty Center or the Los Angeles County Museum of Art. Then, grab lunch at one of the many food trucks in Koreatown. Before leaving LA, don’t forget to get a picture of the Hollywood Sign!

Detailed Information For Each Day

After the introduction and overview, it’s time to get into the nitty-gritty details of your itinerary.

For each day, you should:

  • Include a detailed schedule of activities
  • List the addresses or locations of each activity
  • Include any important information (opening hours, admission prices, etc.)
  • Provide links to websites or additional resources
9:00 AM – Start the day with breakfast at your hotel 10:30 AM – Walk to Hollywood Boulevard and explore the area 12:00 PM – Visit Grauman’s Chinese Theatre and take a picture of your favorite star’s handprints 1:00 PM – Grab lunch at In-N-Out Burger 2:00 PM – Walk to the Hollywood Sign 3:00 PM – Visit the Hollywood Museum 4:30 PM – Head back to your hotel and relax for a bit 7:00 PM – Have dinner at The Grove

In the example above, you get an itinerary set by hours, but you could also write text if you prefer.

After breakfast at your hotel, walk to Hollywood Boulevard and explore the area. Visit Grauman’s Chinese Theatre and take a picture of your favorite star’s handprints. Grab lunch at In-N-Out Burger before walking to the Hollywood Sign. Then, visit the Hollywood Museum before heading back to your hotel. In the evening, have dinner at The Grove.

Extra Tips Or Information

At the end of each day, you may want to include a section for tips and recommendations. This is where you can share your insider knowledge with your readers and help them make the most of their trip.

In this section, you should:

example of trip itinerary

  • Give your recommendations for restaurants, bars, or cafes
  • Mention any insider tips (like the best time to visit a certain attraction)
  • Include any important information (like phone numbers or transportation schedules)
Extra Tips: If you’re visiting Hollywood Boulevard, go early in the morning to avoid the crowds. If you want to get a picture of the Hollywood Sign, the best place to do it is from Griffith Observatory. There are many great restaurants on Melrose Avenue, but if you’re looking for something cheaper, In-N-Out Burger is a must-try!

The example above provides tips for visiting specific attractions, but you could also give general tips for your readers.

Extra Tips: Los Angeles is a huge city, so it’s best to plan your days in advance. If you’re visiting in the summer, don’t forget to pack sunscreen and a hat! Public transportation in Los Angeles can be confusing, so it’s often easier to just rent a car.

Once you’ve covered all the days of your itinerary, you should end your guide with a brief summary and some final tips.

In your conclusion, you should:

  • Thank your readers for following your guide
  • Give a brief overview of your itinerary
  • Include any final tips or recommendations
Thank you for following my 3-day Los Angeles itinerary! I hope you had a great time exploring all that the city has to offer. From Hollywood Boulevard to the Santa Monica Pier, there’s something for everyone in LA. If you have any extra time, I recommend visiting some of the other great attractions that Los Angeles has to offer, such as Disneyland, Universal Studios, or Rodeo Drive. I hope you enjoyed your trip and that this guide was helpful. Thanks again and safe travels!

How To Come Up With A Unique Travel Itinerary For Your Website

If you’re running a travel website or blog, one of the best ways to attract readers is to come up with unique and exciting itineraries.

People love reading about new places to visit, and if you can provide them with a detailed plan for how to spend their time, they’ll be more likely to trust your judgment and follow your advice.

Creating a great travel itinerary takes time and effort, but it’s worth it to invest that time up front.

Once you’ve created a few helpful itineraries, you can re-use them again and again, and they’ll continue to bring in new readers for years to come.

Here are some tips for creating unique and exciting travel itineraries for your website.

1. Do Your Research

The first step to creating a great itinerary is to do your research.

You need to have a good understanding of the destination before you can start planning an exciting trip. Read up on the history, culture, and attractions of the area.

Having a good understanding of the destination is going to help you figure out how many days are needed.

2. Find Hidden Gems

The best itineraries are the ones that include hidden gems that most people don’t know about.

Do some digging to find unique attractions, restaurants, and activities that will make your itinerary stand out.

Talk to locals and ask for their recommendations. Read travel forums and see what other people are saying about the destination.

The more unique and interesting your itinerary is, the more likely people are to want to follow it.

3. Plan For Different Types Of Travelers

When you’re creating an itinerary, it’s essential to keep in mind that not everyone wants to do the same things.

Some people might want to spend their time sightseeing, while others might want to experience the nightlife or go on outdoor adventures.

Try to include something for everyone in your itinerary. This will make it more likely that people will actually use your itinerary and recommend it to others.

Alternatively, make your itinerary for a specific audience. For example, if your itinerary targets outdoor lovers, include plenty of activities like hiking, biking, and camping.

4. Create An Itinerary That Is Easy To Follow

No one wants to read an overly complicated itinerary.

Keep your itineraries simple and easy to follow. Include all the necessary information, like addresses and website links, but don’t try to cram too much into one itinerary.

It’s better to create multiple shorter itineraries than one long, complicated one.

You’ll need to keep everything in mind (time of arrival, time of departure, the distance between attractions, etc.) to ensure the itinerary is easy for people to follow.

Make sure your itinerary follows a logical route and that attractions are close to each other. No one wants to spend hours on public transportation or walking between attractions.

5. Use High-Quality Images

Make sure to include plenty of high-quality images in your itineraries.

People are visual creatures and want to see what they’re going to be doing on their trip.

Use images to break up the text and make your itineraries more visually appealing.

Include images of the attractions, restaurants, hotels, and anything else that you recommend.

6. Use SEO-Friendly Keywords

When you’re writing your itineraries, make sure to include plenty of keywords that people might use when searching for a travel itinerary.

For example, if you’re creating an itinerary for a trip to New York City, some possible keywords could be “New York City travel itinerary” or “3-day New York City itinerary.”

Including these keywords will help your itineraries show up in search results and make it more likely that people will find and follow them.

How to Plan a Travel Itinerary: The Complete Guide

' src=

You’ve chosen your destination, booked your transportation, and maybe even your accommodations. Now…you just have to figure out what in the world you’re going to do while you’re there.

In this post, we’re going to take a deep dive into how to plan a travel itinerary , the nitty-gritty of how to put together your schedule of sites, museums, and activities.

Key takeaways

  • Prioritize and list your “must-do” sites and activities.
  • Do thorough research on your destination
  • Organize your wish list into “must-do,” “want-to-do,” and “nice-to-do” categories.
  • Compile all the practical details for each activity, such as operating hours, fees, and booking requirements.
  • Build your itinerary by scheduling must-do activities first and filling in with want-to-dos and nice-to-dos.

I’m a very detail-oriented kind of person (you know, the kind of person who makes lists for EVERYTHING), so this method of itinerary planning may not be of interest to the fly-by-the-seat-of-your-pants kind of traveler.

If you’re not as hyper-organized as I am, you can easily modify this method for how you like to travel. It’s logical itinerary planning at its best.

I won’t be going over in this post how I research and plan for dining options since that’s a more complicated topic for me and my husband (as a celiac and a vegetarian) than the average traveler.

That’s probably a topic for a separate post. So, let’s get planning.

Getting started on your itinerary planning

“I’m heading to Rome/New York City/Paris/Mexico City for X number of days. What should I do and see while I’m there?”

I see similar questions all over Facebook literally every day, and I understand why. It can be overwhelming to plan a travel itinerary.

Let’s say you’re planning to spend five days in New York . How do you decide what to do for those five days? Where do you even start your search for the best ideas for sites to visit?

Side note: for simplicity’s sake, throughout this post, I’m going to use the word “site” to refer to anything (not eating) that you will want to make time for on your trip. These could be monuments, national parks, palaces, museums, activities, guided tours, etc.

There’s no real wrong way to plan your itinerary…just kidding. You have to do it my way.

No, seriously.

Okay…let’s get started.

When I’m planning a travel itinerary, I go through five phases of the process before I arrive at my final draft.

  • Preliminary brainstorming
  • Destination research
  • Fleshing out my wish list
  • Site/activity research
  • Building my itinerary

I know this seems like a lot, but trust me, you’ll want to know you’ve considered all your options before you go on your trip.

You’ll thank me later.

Planning an itinerary starts with brainstorming your wish list

So, you’ve booked your trip, but your itinerary is completely blank. Your destination is your oyster, but where and how do you start?

Your first step is to do some preliminary brainstorming. If you’re heading to a top tourist destination, you probably already have some idea of the specific sites you want to visit (e.g., the Colosseum, Eiffel Tower, Chichen Itza, etc.).

If you’re going someplace completely unfamiliar to you, your brainstorming phase may be quite short but it can also be less specific if that helps (e.g., important historical sites, whatever the most important art museum is, popular beach, etc.).

To help yourself with your brainstorming, you can ask yourself the following questions:

  • What are the famous/popular sites my destination is most known for?
  • What are the top, must-do sites or activities I already know I want to do on this trip?
  • Why are my spouse’s/travel partner’s must-do sites or activities for this trip? If children are traveling with you, why not include them in the brainstorming? They’ll love feeling like they’ve been a part of planning the trip.
  • What are the kinds of activities we most enjoy while traveling in general?

Great! Write all of this down. Don’t worry. Nothing’s set in stone yet.

And the sky’s the limit. We’re not yet worrying about the costs involved or how much time we have.

Write it all down. Go ahead. I’ll wait.

[cue Jeopardy! theme music]

Okay, keep this list handy; it’s time to do some basic research on your destination.

TIP: Keep track of all of your important travel details with a digital travel planner like this . Prefer paper planners? Grab your printable travel itinerary planner pages here.

Research your destination

This is where I start to go crazy with research. I’ll take in anything and everything I can about my destination. The more good information I have, the better equipped I am to make good decisions about my itinerary.

And don’t assume you already know enough about where you’re headed.

Before I started researching Paris, I had never heard of Sacré-Coeur (which is one of the great free things to do in Paris , by the way) or Les Invalides.

We ended up visiting both on our trip.

Here are the questions I keep in mind as I do this research:

  • What is my destination known for? Is it art, the natural landscape, history, architecture, etc.?
  • What season will it be at my destination? Are there any popular seasonal activities I’d like to try while I’m there?
  • Are there any special holiday events or festivals taking place there that I’d be interested in attending?
  • What is the weather typically like there that time of the year and month? In other words, will I be comfortable spending long periods outdoors, or will I want to spend more time indoors?
  • What are the public transportation options at my destination? Is there a good metro/public transportation system or will I have to rely on taxis, ride-sharing, or walking to get around?
  • Where are my accommodations in relation to the major site on my list?
  • Does my destination offer any kind of city or museum pass?

Side note: If you haven’t yet booked your accommodations, now is a good time to take a look at a map. Do a large number of must-do sites on your wish list cluster in a certain area? If so, you might want to consider booking accommodations nearby to simplify your transportation needs. This isn’t always a good idea but consider it.

Where do I find this information? Here are a few suggestions:

  • Do some simple Google searches and look around the different results for up-to-date information about your destination.
  • Head over to Pinterest to discover what travel bloggers ( ahem ) have to say.
  • Buy some good travel guidebooks and start reading.
  • Watch YouTube videos about your destination.
  • Armed with this pile of new information, you’re going to go back to your list.

Flesh out your wish list

As you researched your destination, you likely noticed certain sightseeing ideas or recommendations coming up over and over again.

  • If they’re already on your brainstorm list, great! Leave them there.
  • If you’ve never heard of or considered them, but they now sound interesting, add them to your list.
  • If there’s something you’ve changed your mind about, go ahead and take it off your list if you really want to, otherwise, leave it on the list. You can always remove it later.

It’s okay at this point if your list has far more ideas on it than you can possibly fit into your trip. We’ll work on narrowing it down later.

After doing my research, I discovered a lot more ideas for things to do in Paris and sites to visit than were on my first brainstorming list. But…what if you’re finding the opposite to be the case?

What if you’ve booked yourself a round-trip plane ticket to your destination, but you’re finding only enough you’re interested in doing to fill a much shorter time than you’re planning to be there?

You have a couple of options:

  • If you haven’t booked your accommodations yet, or you can still change/cancel your reservation, consider adding a destination to your trip. For example, if you’re flying into and out of Zurich, Switzerland, but are finding more that interests you perhaps in Lucerne (or beyond), consider spending at least a portion of your trip outside Zurich.
  • If you have booked your accommodations and your reservation cannot be changed, consider adding day trips to your itinerary. For example, if you’re staying in Florence, Italy, you could take the train to Pisa or Lucca for the day.

By now you should have a good sense of what your itinerary could look like; it’s starting to take shape.

Specific site or activity research

Okay, so you have this beautiful, and probably fairly lengthy list of things you’d like to see and do on your trip.

Now you get to do research on each of these items individually. Yay! Seriously…I love this part.

To start, you’re going to break down your wish list into four sections. If your list is pretty long, you can re-write it into these four sections, but if it’s on the shorter side, it’s okay to do this mentally.

The Louvre pyramid in front of the Louvre palace with a blue sky.

Must-do sites.

These are the places people traverse the globe to see…the Eiffel Tower, St. Peter’s Basilica, the Pyramids of Giza, Great Wall of China. You get it.

These are the non-negotiable ones. They go in the itinerary no matter what.

Want-to-do sites.

These are the second-tier sites for your trip, the things you want to make room for, but won’t necessarily dissolve into tears if you can’t manage it.

Examples from my travels would include the Rodin Museum (Paris), Trevi Fountain (Rome), or walking the entire High Line in New York City.

Nice-to-do sites.

These are the minor sites and activities that will become the filler in your itinerary. On my itineraries, these are things like “sit on the Spanish Steps” or “buy cheese from a fromagerie.”

I don’t care if we do this or not.

These are the sites that are first on the chopping block once we start to build the actual itinerary. Or you may have cut them already once you did your destination research.

Now that you have your sites grouped, the next thing to do is your research. For at least each of your must-do and want-to-do sites you need to know the following:

  • What days of the week is it open and what are the operating hours?
  • What is the entrance fee (if any)?
  • What is the best day of the week to visit?
  • Do you need to book tickets or make a reservation ahead of time? If so, how far in advance can you book/should you book?
  • Where is it and how do I get there? I especially want to know how far it is from my accommodations and how far it is from other major sites on my list.

Side note: The My Maps feature in Google Maps is an invaluable part of this phase of the itinerary planning process for me. You can pin locations, organize and color code sites to visit, and even add personal notes.

Image of Google map to assist with travel itinerary planning.

Narrowing it down

Okay, now you have even more information about your destination. Here’s where you start making some changes to your list.

At this stage, I may move sites from one section of my wish list to another. Something might move up on the list, for example, if I discover that it’s very near one of my must-do’s, or if it’s free to visit.

This is how we ended up going to Les Invalides; it wasn’t anywhere near the top of our list, but it’s right across the street from the Rodin Museum (which was something I wanted to do) AND it’s covered by the Paris Museum Pass. It was super easy to just pop in for a bit after the Rodin Museum, but we probably wouldn’t have made a separate trip.

Something might move down the list (or come off the list entirely) if I learn it’s very out of the way or more of a financial investment than my particular budget for this trip can support.

Should I purchase a city or museum pass?

Let’s revisit the city/museum pass question from the destination research phase.

If your destination offers one (or a few), take the time to consider if it’s worth it for you to purchase for your trip. We used the Museum Pass on our trip to Paris (and highly recommend it), but decided against buying the Firenze Card for our trip to Florence, Italy .

Here are some criteria I use to judge whether a city or museum pass is worth it for us to purchase for a particular trip:

  • What sites are covered? Will you have to book entrance to many of your must-do/want-to-do sites separately or are most covered by the pass?
  • Does the pass offer you unlimited entry to covered sites or can you use it one time only?
  • Will you save money if you buy the pass? It’s not necessarily a deal breaker if it doesn’t. The convenience of not having to book entrance reservations to sites ahead of time can outweigh some financial disincentives.
  • Does the pass cover any public transportation you’re planning to use or just site entrance fees?
  • For how many days is the pass valid versus how many days you will be at your destination? For example, we chose not to buy the Firenze Card on our trip to Florence, because it’s only good for 72 hours, and we were spending 8 nights there. Purchasing two cards each would have cost us far more than paying for our chosen sites individually.

Long line of tourists waiting outside the Colosseum in Rome.

How do I decide what to cut from my itinerary?

This part of the process is highly personal. Only you can really decide if a particular site or activity is “worth it” to you.

The decision to buy or not to buy a city or museum pass may affect how you narrow down your list. If you have to purchase entrance tickets to all of your sites individually, you may end up having to spend more money to see everything (or cut sites to stay within your budget).

Or if you do decide to purchase a pass but a site on your list is not covered, you may find yourself considering leaving it off your list.

On the other hand, if you have a pass you may see more sites overall because you’ve already paid for admission.

…If that makes sense.

At this stage of the itinerary planning process, if there’s anything on my list that makes us say “meh” it goes on the “I don’t care” list.

Build the trip itinerary

Okay. You’ve done your research, you’ve decided whether you’re buying that city pass and you’ve refined your site wish list.

You’re ready to build your itinerary! I’m going to use our recent trip to Paris to demonstrate how I put it all together.

The non-negotiables get top priority.

For each full day on your trip, choose one or two of your must-do’s or want-to-do’s: one first thing in the morning and one for later that day.

Your must-do’s (your non-negotiables) go on the schedule first and as early in your trip as you possibly can.

If you arrived in Paris on April 14, 2019, and decided to put off seeing Notre-Dame until later in the week, you were probably pretty disappointed on April 15 as the world watched the devastating fire that closed it down.

Don’t. Put. It. Off.

For our trip to Paris, we each had one non-negotiable: the Louvre and the Palais Garnier. We did them both on our first full day there.

Then add any other must-dos that require advanced booking or warrant a full day on your itinerary or both. So, I needed to choose days for Versailles and the Eiffel Tower.

My research told me that I should plan a full day at Versailles and that it is quite busy on the weekends and on Tuesdays (when the Louvre is closed).

I also learned that the Eiffel Tower is open every day until late, that I should plan to spend about three hours there, and that I needed to book tickets for the summit as far ahead as possible.

Add in your want-to-do’s.

With the must-dos scheduled, I’m ready to schedule the want-to-do’s. I added Musee d’Orsay and Musee Rodin, then Musee de l’Orangerie, Champs-Élysées, Arc de Triomphe, etc.

Nice-to-do’s fill in any remaining gaps.

I then fill in the rest of the itinerary with the nice-to-do’s, leaving our last full day intentionally blank.

When staying in one place for four days or more, we try to keep our last full day completely open. This is so we can return to any place we want to see again, or so that we can add more of the items from our “nice to do” list depending on what we’re in the mood for. It helps us create a good balance between sightseeing and relaxation .

If you’re taking a trip that includes multiple stops, you can just repeat this process for each place you’ll be staying.

Keep in mind as you’re planning a trip itinerary that if you’re bouncing from city to city every other day, you’ll be spending a lot of time traveling from one destination to the next.

I do feel like I need to say, that even though you now have a meticulously planned itinerary it doesn’t mean you can’t be spontaneous. We often find that we spend far less time at some sites than we think we need to allow for, giving us time to do even more on our trip than we hoped.

Or sometimes we just don’t feel like doing something on our schedule…and that’s okay too.

Now you have the tools to build the perfect itinerary for your next trip. Enjoy!

Tips for Planning a Business Travel Itinerary

Some companies hire a corporate travel planning service to manage trip planning, booking, and emergency services. However, small businesses and independent consultants can simplify their travel planning by keeping a few tips in mind.

  • Begin Planning Early: While some trips occur with short notice, you should aim to start planning a month in advance (if possible) to reduce stress and ensure that you get the services you need at the best rates available. Schedule any business meetings before securing transportation, lodging, and other travel details. It can also be helpful to arrive a day or two early to give you time to get organized and recover from jet lag.
  • Bring a Backup Itinerary: Mobile devices, cloud-based storage, and the global availability of Wi-Fi make it easy to access documents from anywhere. But technology can fail, and devices can be lost or stolen, so it’s wise to print a hardcopy of your itinerary to bring in your carry-on luggage. If you’re traveling overseas, consider emailing a copy of your itinerary to your local contact as well.
  • Check the Weather: This may seem obvious, but in some locations and at certain times of year, you may need more than your typical business attire in order to be prepared and comfortable. Before packing, check the weather forecast for your destination.
  • Confirm Arrangements: Verify that a hotel will provide all the services you will need before booking. Once arrangements have been completed — but before setting out on your business trip — confirm lodging and other travel details to ensure that everything is in order and your itinerary is accurate.

Creating an organized itinerary will give you a map to follow during your trip so that you can focus on business engagements and other work responsibilities.

Frequently Asked Questions

1) what are the subtypes of itinerary templates.

There are itinerary templates for events, vacations, conferences — you name it! You can use travel itineraries — which include information about flights, hotels, tickets, vacation packages, and more — as well as business itineraries for conference schedules or meetings. Plus, you can fully personalize your itinerary for any trip you’re planning, whether that’s a road trip, a bachelor party, or an all-inclusive cruise.

2) What is the purpose of using an itinerary template?

The purpose of an itinerary template is to provide a structured plan for a trip or event. It outlines all the details of the event, including activities, schedules, budgets, to-do lists, and more. An itinerary template can help you organize and streamline the planning process both more productive and enjoyable, whether you’re putting on a conference or a small event for friends.

3) What are the benefits of using an itinerary template?

An itinerary template helps with time management and organization. It helps you lay out the details of an engagement in advance, saving you time and hassle once the event actually happens. Itinerary templates are also great for communicating details with others, as you can send them out to everyone involved to communicate logistics. Lastly, itinerary templates are useful when budgeting for expenses because you can estimate and track costs in one place.

4) How do I create an itinerary template?

You can create an itinerary by heading over to Jotform’s PDF templates library. We have you covered with multiple itinerary templates to choose from — no matter your needs. Simply pick the template that works best for you, click Use Template, and customize it in our PDF Editor. When you’re finished, you can share it via email or link or embed it in your website in seconds.

5) What information should be included in an itinerary template?

Generally, an itinerary template should include the major elements of the event or trip. For example, if you’re making a flight itinerary, make sure to include flight numbers, boarding times, terminals, and confirmation numbers.

If you’re making a conference itinerary, list the conference name, date, start time, location, sessions, and other details. Include a day-by-day or hour-by-hour breakdown of the schedule, depending on the length of your event.

The best way to construct an itinerary is to step back and think about all the information you would need to know as a traveler or attendee. This could include everything from budget and accommodation to meals and contact information, so take time to flesh out all the details.

6) Can I customize an itinerary template to suit my specific needs?

The beauty of the itinerary template is that you can adjust it to meet your requirements seamlessly. With Jotform’s intuitive drag-and-drop PDF Editor, you can rearrange sections, add new form fields, adjust fonts and colors, drop in your own logo, and much more. When you’re done, you can share it through email or a link with anyone who needs it. Plus, our mobile-friendly PDF itineraries work great on any phone, tablet, or computer, so your users can access them even if they’re traveling without a great internet connection.

7) Where can I find free itinerary templates online?

You can find free itinerary templates with a quick Google search. But, while there are many options to choose from, not all free itinerary templates are created equal. If you have to download a template as a Word document or PDF, editing them can get tricky, depending on which operating system or tools you use.

Jotform’s itinerary templates are completely free to use and easy to edit. Just choose the one you want to use, customize it in our PDF Editor, and you’re ready to go. You can create and share a robust itinerary in minutes.

8) How do I add accommodations and transportation details to an itinerary template?

You can add accommodation and transportation details to your itinerary template by replacing the text from the sections in one of our templates or by adding new sections to your itinerary.

You can include handy charts, color-block your sections, or create a snappy form design to make sure your users can absorb the information at a glance. To make your accommodation and transportation details even more organized, consider using standard formatting, bullet points, charts, and clear headings to enhance readability.

9) Can I share my itinerary template with others?

Yes! An itinerary wouldn’t be very useful if no one could see it except you — which is why Jotform has made this part as easy as possible. When you’re finished customizing your template, navigate to the Share button in the upper right corner of the PDF Editor. From there, you can create a link to share your document or invite users by email. You also have the option to grant private or company access, adjust permissions, and more.

10) Is it possible to create an itinerary template for multiple destinations?

Yes, you can create an itinerary template that covers multiple destinations for an event or trip! For example, if you’re organizing a company retreat with multiple destinations (think Chicago to New York or Paris to Berlin), you can create schedules for each location in the same itinerary. Put your stops on different pages or create separate charts with their activities. This way, you won’t have to send multiple documents to attendees.

11) Can I integrate a map or GPS coordinates into an itinerary template?

You can add a map as an image in your itinerary template to help guide attendees. You can also include information like the name and GPS coordinates of the destination in the template to make sure your attendees know where they’re headed.

12) How can an itinerary template help me stay organized during my trip?

An itinerary template can help you stay organized during your trip by eliminating unknown factors that may cost you time and money. For instance, if you book a bus to your day trip destination in advance, you won’t have to run around trying to find a way there the day of. An itinerary also helps you keep all the details about your day in one place so you won’t have to dig through your email searching for tickets or schedules.

One of the biggest perks of an itinerary is that it helps you manage your budget. Planning your budget in advance helps you estimate how much you’re going to spend and when, which also helps you add contingency funds should any surprises pop up.

And speaking of surprises — believe it or not, an itinerary can actually help with flexibility as well! Any trip will throw unexpected changes at you, but having your plans in one place will make it easier to rearrange specific activities or incorporate more time into your schedule with ease.

13) Are there any best practices for using an itinerary template?

There are several best practices that will help you get the most out of your itinerary template. The first one is to customize the template to your needs — adding all the details specific to your event will help you cover all your bases. Keep the information concise, so attendees don’t feel overwhelmed by too much text on the page.

It’s best to use a digital format such as a PDF for your itinerary, since paper itineraries are easy to lose or destroy. Be sure to share your document with all your attendees, so no one’s in the dark — and be sure to update it if any last-minute changes pop up!

14) How can I optimize my itinerary template to maximize my time during the trip?

Every itinerary will be different, depending on what each person enjoys. If you’re someone who likes to account for every minute of a trip, you can make a really robust itinerary. On the other hand, if you prefer to have some wiggle room, you can schedule one or two activities and leave the rest of your time to mosey around town.

In general, you can optimize your itinerary by prioritizing a couple must-see destinations and grouping activities together based on location. For example, if you’re headed to Barcelona and you’re most excited to see the Sagrada Familia, then you should plan a day in that part of town — and if a restaurant you wanted to try happens to be nearby, you can group those activities together.

It’s also wise to research transportation options in advance, because getting from one place to another often takes up the most time on trips. Be mindful of how long it’s going to take you to get somewhere — you might find it’s better to snag a cab than brave the train.

Lastly, plan in some buffer time and go with the flow! Nothing will ever go perfectly on a trip, but remember that it’s just as much about the journey as it is about the destination.

Description

This travel itinerary template allows you to keep the many different and important trip details in one place. Details like confirmation numbers, flight times, meeting times and locations, car rental and hotel locations, and more. It is organized in a way that flows nicely with the actual trip: leaving on a flight, renting a car once you arrive, checking in at your hotel, attending meetings and events and then flying back home. It's an effective solution when planning a trip for yourself, your boss or fellow employee.

Create a Vacation Itinerary

We tried to design this to make it easy to customize. For example, if you are going on a vacation instead of a business trip, you could change the "MEETINGS" section to "ACTIVITIES" and then list some of the possible activities you could do while on your trip.

Instead of "Topic" and "Room" as labels you could add "Cost" and "Hours" to note how much an activity would cost and what hours the museum, store, or attraction is open.

How to Build the Ultimate Itinerary: Samples, Examples and Best Practices

Ever notice how some people are able to pull off the best trips, making it seem as simple to them as breathing? While some people might just be lucky travelers, we’re willing to bet 9 out of 10 of those people had crafted out a well-planned trip itinerary. They’re the sort of people who check the boxes ahead of time: they know where they’ll be, what they’ll see, how to get there, and more. Really, it’s no sweat off their back.

For some travelers, this sort of planning is half the fun. For the rest, though, the idea of planning a travel itinerary is time-consuming and stress-inducing, especially when you’re planning for more people than just yourself. If you’re part of the latter group, take a moment to hear us out before you resort to just ‘winging it’ as a result of overwhelm. Our travel itinerary tutorial has all the information you need to turn your dream trip into a reality—whether you’re traveling for professional purposes or just to enjoy some time away with friends. All set to start planning?

What is A Travel Itinerary?

If you’ve never made a travel itinerary before, you might not know what one entails. A travel itinerary isn’t just a list of popular things to do. Rather, a travel itinerary is a breakdown of how you (or a group of travelers) should spend their time, supported by all the essential details. Most itineraries are broken down into days, and each day is further broken down into activities or stops.

While there are many travel itinerary templates out there, the cool thing about itineraries is that they can be adapted to fit your needs. A basic itinerary will often include flight details, accommodations, travel times, sights to see, and important phone numbers, but you can certainly add more than that.

What to include within a travel itinerary really comes down to its purpose.

For example, let’s say you’re a solo traveler who wants to make the most of your time in Iceland. Your travel itinerary will likely include your flight details, car rental information, hostel or hotel accommodations, as well as sights to see along the Ring Road. Things like shopping and restaurants to try can be left unplanned, especially since it’s just you as you can explore those things as you please.

On the other hand, if you’re hosting a group of 40 people for business travel, or perhaps you want to start your own tour group company, you’re going to want to make sure each itinerary has as much information as possible for the entire trip. This includes all of the flight, airport, hotel, and transportation details, as well as their work (or activity) schedule and restaurants for breakfast, lunch and dinner.

In the best-case scenario, failing to provide adequate itineraries will have you answering A LOT of questions from 40 different people. Worst-case scenario? You probably won’t be able to find dinner reservations or attractions to visit or even accommodation on a whim with a group of that size. Don’t be that person.

4 Reasons Why Creating a Travel Itinerary is Essential

An itinerary:

  • 🙏 Prioritizes your wants. There’s no way to see or do everything in one place, which is why an itinerary is useful in getting your ideas on paper so you can visualize which sights/events/attractions are the most important.
  • 🕒 Maximizes your time. When you do your research ahead of the trip, this means you’re not spending time on your trip Googling things to do next, which is a total waste of your time away. Plus, if inclement weather occurs on a day where you had something planned outside, you can easily swap plans with another day that was more indoor-focused without missing a beat.
  • 💸 Helps you stay on budget. When you break down your itinerary into days, you can allot a given budget to each day. If you know that one day is particularly expensive, you can plan to dial back the spending the next day, such as going to a free park or packing your own lunch.
  • 😎 Creates smoother travel. Creating an itinerary helps you see and fill in all those ‘gaps’ between your stops, thereby forcing you to think about how you will get from A to B and from B to C. There’s nothing more frustrating than assuming that something looks close on the map, only to realize on the day that it’ll eat up 6 hours of travel time.

What Makes An Itinerary a Successful One?

Not all itineraries are created equal. This means that some are going to be more of a hindrance than helpful, whereas others might not provide any useful information at all. The key is to strike a happy balance with your planning. Here’s why under-planning and overplanning can hurt your travel itinerary, and how you can make yours a successful one:

How under-planning hurts your travel itinerary

The point of having a good travel itinerary is to have all your ducks in order. This means including all pertinent information. We’re talking flight details (airlines, flight numbers, flight times, passport/visas), hotel information (address, phone numbers, check-in times, distance from airport), and transportation (rental car, rail passes, ferry tickets) at the bare minimum.

Can you imagine hopping through countries on a world trip you’ve so been looking forward to for ages, only to get held up because of overlooked issues with your passport or visa?

How over-planning hurts your travel itinerary

Overplanning a trip can be just as damaging to a successful trip as under planning. Overplanning leaves little to no room for spontaneity, and you’ll likely stretch yourself too thin and wear yourself out before you know it.

The best kind of trip is when you start chatting up a local and discover some worthwhile attractions you didn’t know about prior to your departure. While well-laid travel plans are an integral component of any successful trip, don’t forget to build in some free time to go explore these local-knowledge tips or even just some downtime to reset and relax.

And remember, time changes are tough. When it comes to jet lag , a general rule is that it will take you as many days to recover as time zones you’ve crossed. Younger people tend to bounce back quicker, while it can take longer for older adults. Keep this in mind and try to not pack your days too much if you can avoid it.

How to strike the perfect balance with your itinerary planning

The big three—flights, accommodation, and local transportation—are no brainers. For any trip, no matter how big or small, make sure you have these three covered. But you really shouldn’t stop there.

Have some important numbers on hand in case of an emergency. If you’re traveling internationally, do you know if your current phone plan will work, or will you need to update it? Make sure you research things to do in the area you want to see and perhaps a few restaurants you want to try. Does the restaurant you’ve got your eye on book out months in advance? What about plays or concerts or other attractions? Do you need to purchase tickets ahead of time? Do they need to be printed or are mobile tickets OK?

Don’t be caught disappointed because you didn’t ‘know’ about something interesting nearby or you can’t experience something because of lack of planning. You’ve likely come a long way, so make it worth your time! With that being said, reserve some unplanned gaps throughout your trip for spontaneity, flexibility, downtime, or even just a solid nap.

Creating Your Perfect Itinerary

The more you travel and the more you get used to creating itineraries, the easier the process will become. But if it’s your first time and you’re not sure where to start, consider using a template or an online platform to get the ball rolling. Here are some of our favorites:

Free itinerary templates

Jotform offers excellent PDF templates. Most of their templates are drag-and-drop, allowing you to easily plan the flow of your day. You can choose specific templates like a flight itinerary, for example, or you can choose an all-encompassing one that includes your flight details, daily schedules and more.

free itinerary templates

Once complete, the itinerary samples will be saved as PDFs that can be printed to have on hand as well as sent on to friends or colleagues via email. Once received via email, they can be downloaded to a mobile device, a perfect solution if wi-fi turns out to be spotty at the destination.

Free online platform for itineraries

Perhaps you want something a little more interactive when it comes to an itinerary? Allow us to introduce ourselves—we’re Guestboard , a user-friendly tool for managing schedules and events.

Guestboard can easily be used as a travel itinerary app. You can build schedules for the group online and in the app in no time. You can also create handy checklists, and there’s even a messaging board that can be used for the group to communicate. Multiple threads will keep the information organized, which is especially helpful for big groups that want to find a buddy to grab a drink before an event, split the cost of ride-sharing or check out a museum together.

itinerary software for groups

Guestboard is FREE for the first 30 guests, making it ideal for planning small business trips, yoga retreats, friends and family vacations, and more. If you have more than 30 guests, it’s just $0.50 for each additional guest, so you only pay for what you’ll use!

Paid Platform for Itineraries

Travefy is a high-end online tool for building travel itineraries, more likely to be utilized by companies than individuals (for business travel, for example), or perhaps by tour group operators. If you fall into this category, then you’ll enjoy their easy interfaces and the professional end result of the itinerary. Designing travel or flight itineraries is easy, as all you have to do is drag and drop itineraries into their customizable templates.

Distributing Your Travel Itinerary

By now, you likely have some ideas forming of how you’re going to create your travel itinerary, whether it’s with an itinerary maker or online platform. But before you jump in head first, you also want to consider how you’re going to distribute the information in a way that makes sense for your trip and those involved.

Here are some possible ways to share your itinerary:

📬 Printing a complete itinerary packet and snail-mailing

  • ✅ Pros: phone signal and wi-fi can be spotty, especially in remote areas, so it’s handy to have the information you need on hand just in case, even if it feels pretty old school. And sure, while most of the world has gone digital, there are still some businesses that require printed paper copies of tickets, etc.
  • ❌ Cons: having a packet of information can feel cumbersome, especially if you’re trying to pack light. It’s also less eco-friendly.

📥 Sending itineraries via email

  • ✅ Pros: you can easily ensure that everyone has pertinent information ahead of time, all in one place. Also the more eco-friendly option.
  • ❌ Cons: depending on your signal, it can be difficult to pull up information instantly, and some information simply isn’t formatted appropriately for mobile. Do recommend to your travelers that they download ‘offline’ copies to their phone ahead of time if they can.

🌐 Posting itineraries on a static website

  • ✅ Pros: accessible and fancier, which is ideal for clients/business travel and other professional events. Some websites allow travelers/attendees to interact with one another ahead of the trip, too, which can feel welcoming.

A Few More Things to Consider When Planning Your Itinerary:

Here are a few final tips before you get out your pen and paper and start planning:

  • Build-in free time. If you have the availability to pad the beginning of your trip with a free day, you should do it—especially if there’s a time change. Sure, it’s tempting to want to do it all. But it’s not so fun to do it all when you’re coming off an 8 hour time change.
  • Give yourself space. The more space your itinerary allows between activities and transportation, the better. Anyone who’s ever missed a flight, bus, train…you name it, can attest to this little nugget.
  • Take note of local holidays. If you’re the ultra-social type, using your trip to attend something like Oktoberfest can be a great way to experience a new city and meet locals. The opposite applies, too. Not a fan of overcrowded spots? Noting the local holidays is a great way to steer clear of crowds and busyness.
  • Consider both efficiency and budget when making decisions. It might be $100 cheaper to fly into a less busy airport, but if it takes you two hours of train travel to reach your final destination, is it really worth it when you figure in the time wasted (+ train fare)?

After the Trip

Wheels are down, luggage is reclaimed, everyone’s heading home, and you’ve just successfully planned and executed an amazing trip. Whether you planned itineraries for your whole team for business travel or just a fun getaway with your friends, you’ve officially been there, done that. So, now what?

There’s no reason all that hard work of planning should go to waste after the trip is over. Post-travel feedback is extremely helpful when it comes to planning future travel itineraries.

If you planned business travel, can you ask your colleagues what worked and what didn’t?

If you’re part of a tour company, can you ask your travelers what was their favorite part, and what could perhaps be swapped out in the future?

Even if you just planned a trip with your friends, try to get together with them a few weeks later once they’ve settled back into their routine and see what stands out most from the trip.

No matter your intent for travel, itineraries are a great resource to keep on hand and refer back to in the future, such as, what was the name of that great hotel again? Or that place that served the best pasta? When it comes down to it, if you’ve had a great experience, you’ll want to share your travel itinerary with friends so they can experience the same awesome trip (and count you as a travel guru, of course), or even revisit the itinerary yourself in the future. At the very least, hanging onto your travel itinerary is a great way to memorialize the experience!

If you’ve ever tried to plan out an itinerary, you know that a template makes things much easier than just trying to throw something together yourself. Unfortunately, trying to find a template can be quite a difficult process if you don’t know where to look.

Thankfully, there are good options for you to use. Here are eight of the very best places that you can find free itinerary planner templates for your next trip.

First up on this list, we have Canva. Canva is an online graphic design platform that lets you create a huge range of designs, including itinerary planners.

Canva includes over 750 different itinerary planner templates that you can look through at your own leisure. The designs here are pretty diverse and feature just about any event, holiday, or structure that you could want.

What really makes Canva shine, however, is how it lets you interact with these templates. You can simply choose a planner and print it out, if you so wish, but Canva lets you do more than that.

With Canva, you can customize and design your itinerary any way that you want. This includes adjusting the text, the locations, the images, and more. You could also upload your own pictures if you want to include a photo of yourself or your destination, for example.

Next up, we have the itinerary templates available from Jotform. Jotform is a PDF editor, which means that it should be no surprise that it’s a remarkably powerful tool to use in conjunction with its free itinerary planner templates.

The range with Jotform’s itinerary templates is noticeably less than some of the other options available on this list. There are only 21 templates available to choose from, and though there is a very solid variety available here, this may be a little limiting.

Jotform’s greatest strength, however, is in how you can edit the templates. Unlike Canva, Jotform’s editing is less artistic and more functional. There are plenty of options to easily add in new lines, boxes, page breaks, and signature boxes.

If you’re looking to pass around a relatively no-nonsense itinerary to a couple of people, this can be a good way to do so.

3. Adobe Express

If you’re looking for an impressive range of different free travel itinerary templates that also features some reasonably powerful editing tools, then Adobe Express is a fantastic place to look.

Adobe Express features well over 100 different itinerary templates, though some of them are only available to premium users. The range here is quite good, though some of the templates can be pretty basic and seem to focus more on aesthetic than on functionality.

If you've ever looked for free travel journal apps to create a beautiful trip diary , however, then this might be what you're looking for. With so many options, you’re bound to find something that appeals to what it is that you’re looking for.

The main reason to use Adobe Express, however, is that the editing options that you have are quite powerful. There’s a comprehensive layering system, as well as a huge variety of design assets, fonts, and layout tools. You can even animate your travel itinerary if you’re not planning to print it.

4. Microsoft Office

Next up, we have the itinerary templates available for Microsoft Office. These templates are a little more limited than some of the other options on this list, but if you’re already familiar with the Microsoft Office suite and don’t want to sign up for and learn a new system, then they might just surprise you.

There are only nine itinerary templates available from Microsoft, with roughly half of them being available for Microsoft Office and Microsoft Excel, respectively.

The templates themselves are very solid, however. They’re certainly not the most elaborate nor fancy, but they’ll do the job well. If you’re just looking for something that will get the job done and work with the Microsoft Office suite out of the box, then this is a great place to get some templates.

If you’re looking for some templates that strike a good balance between design and functionality, then the free travel itinerary templates provided by Visme might just be exactly what you’re looking for.

Visme has over 30 different itinerary templates available for you to look through, mostly focusing on different destinations and travel lengths. These itineraries are all entirely customizable thanks to Visme’s in-depth design tools as well. A perfect compliment to these smart travel planning apps for easier trip itineraries .

These templates all look great without sacrificing usability. They’re also highly adjustable, with options for colors, graphics, photos, media, and text all being customizable.

6. EDIT.org

For something that is a little bit more pared back and is easier to learn, EDIT.org has a wide range of different templates available for use.

These templates are all customizable, though the options here are a little less complicated, and therefore overwhelming. If you’re looking for templates that look great and that you can edit without having to worry too much about learning something new, then EDIT.org is a great option for just that.

7. Template.net

Next up, we have Template.net. As you might imagine, Template.net is a website focusing on different template designs, including free travel itinerary templates.

There are over 60 different travel itineraries available with Template.net, though not all of them are available for free. The range is, however, diverse, so you’re likely to find something that you can use.

You can download your templates directly for a variety of file formats such as Microsoft Word or Excel, Google Docs, Apple Numbers, and more. You can also edit your itineraries directly.

8. On Planners

Last, but not least, we have On Planners. If you’re looking for a variety of free travel itineraries that you can download and fill out yourself, then Onplanners.com might just be what you’re looking for.

On Planners provides a handful of different travel itineraries for you to look through. The range here isn’t huge, but the options are solid and easy to download.

It's worth bearing in mind that only some of the templates are editable. But, if you’re looking for something that you can quickly print and fill out by hand, then this is a great place to find what you’re looking for.

Finding Free Travel Itinerary Templates Can Be Easy

As you can see, finding free travel itinerary templates doesn’t have to be a difficult thing. Regardless of if you’re looking for something that you can quickly download or print and fill out yourself, or are hoping to find something that looks nice, there’s something out there for you.

Plotting out the itinerary doesn't have to be difficult, either, with plenty of planning apps to help you out.

What Is A Travel Itinerary?

Travel Itinerary Template

A travel itinerary is a schedule or agenda that outlines the details of a planned trip. It lists the dates, times, and sequence of activities, transportation methods, accommodations, and other logistic information day-by-day for the duration of the trip. Travel itineraries help organized travelers maintain an overview of the trip timeline while allowing flexibility as needed.

They keep things on track when juggling travel between multiple cities, coordinating group arrangements, and managing reservations and tickets. Having a clearly mapped out itinerary minimizes confusion, forgotten bookings, and unnecessary delays. A well-crafted itinerary is an invaluable tool for both travelers and travel planners that promotes smooth execution of travel arrangements.

Planning a trip can feel chaotic when you’re trying to organize transportation, accommodation, activities, and more. A travel itinerary template makes it easy to schedule and visualize your vacation details.

With a pre-made itinerary template , you simply fill in the dates, locations, confirmations, contact info, and things to do day-by-day. Different template formats allow you to customize for cruises, road trips, flights, tours and individual or group travelers. Sections include daily schedules, travel routes, transportation methods, contact lists, and trip essentials.

An itinerary template structures your plans neatly in one place for your convenience – and peace of mind. Before your trip and during, you’ll have all the important logistics and timelines accessible. Customize the template in Word to add or edit entries. With a clear travel itinerary template, you can relax knowing everything is mapped out.

Reasons Why Having A Travel Itinerary Is Important

A travel itinerary serves as a comprehensive guide for your trip, outlining everything from flights and accommodation to activities and mealtimes. While some people prefer the spontaneity of traveling without a set plan, there are several compelling reasons why having a travel itinerary can significantly enhance your travel experience. Here’s a detailed look at why a well-planned itinerary is essential.

Efficient Time Management

One of the most significant benefits of having a travel itinerary is efficient time management. Most people have limited vacation days, and a well-laid-out plan helps you make the most of your time. An itinerary can help you prioritize activities, ensuring you experience the things that matter most to you. Without it, you might find yourself wasting precious hours deciding what to do next or figuring out logistics on the fly.

Budget Management

An itinerary doesn’t just help you manage your time; it also helps you manage your budget. Knowing your activities in advance lets you research costs and make more informed decisions about where to splurge and where to save. Additionally, pre-booking some aspects like flights, accommodations, or even meals can often save you money compared to making last-minute arrangements.

Reducing Stress

Traveling can be stressful, especially when it involves coordinating logistics like transport, accommodations, and activities. An itinerary acts as a centralized document where you have all essential details at your fingertips. Knowing that everything is planned out can relieve stress and make your travel more enjoyable. It can be especially helpful when traveling in a group, where differing opinions on what to do can add stress.

Flexibility and Contingency Plans

While an itinerary adds structure to your trip, it also provides the flexibility to adapt when things don’t go as planned. Flights get delayed, weather changes, and sometimes attractions are closed for unexpected reasons. Having a plan allows you to quickly pivot and choose an alternative activity or solution, saving you the agony of lost time and missed opportunities.

Enhances the Quality of Travel

A well-researched itinerary can significantly enhance the quality of your trip. By planning ahead, you can avoid tourist traps and instead focus on local favorites and hidden gems that you might not discover otherwise. You can also better pace your trip, ensuring a good mix of relaxation and adventure, cultural experiences, and leisure time.

Safety and Preparedness

Having a set itinerary can also contribute to your overall safety during your travels. Sharing your plans with a trusted friend or family member ensures that someone knows where you should be and when. This is particularly useful in case of emergencies. Also, planning ahead allows you to prepare for specific activities adequately, whether it means packing the right gear or getting necessary vaccinations or permits.

Better Group Coordination

If you’re traveling with others, a well-defined itinerary is crucial for group coordination. It helps set expectations about the trip, allowing everyone to align their interests and budgets. It also simplifies cost-sharing arrangements, as you can decide in advance who will cover what, avoiding any potential disagreements during the trip.

A Lasting Memory

Finally, your travel itinerary can serve as a fantastic keepsake after the trip is over. Along with photographs and souvenirs, an itinerary helps you remember the trip in detail, making it easier to relive those moments and share your experiences with others.

What to Include in a Travel Itinerary Template

Creating a travel itinerary can be a fun and fulfilling task, but it can also be daunting if you don’t know where to start. A well-designed template can serve as a foundation, making the planning process more straightforward and organized. Here’s a comprehensive guide to the elements you might include in a travel itinerary template.

Title Section

The title section typically includes your destination, travel dates, and the names of the people traveling. This part acts as a cover page and gives an overview of the trip at a glance.

  • Destination : Where you’ll be going, perhaps with a fun logo or image of the location.
  • Travel Dates : The dates of your travel from start to finish.
  • Travelers : Names of all people who are part of the trip.

Contact Information

This section is particularly crucial in case of emergencies. List the phone numbers, email addresses, and perhaps even social media handles of everyone in your travel group.

  • Emergency Contacts : Contact details for each traveler’s emergency contact back home.
  • Travel Insurance : Information about your travel insurance policy and emergency numbers to call.

Travel Details

This section outlines the major travel components like flights, trains, or bus tickets. Each entry should have:

  • Departure/Arrival Time and Date : Specific details about when you’re leaving and arriving.
  • Flight/Train/Bus Number : The specific identifier for your mode of transport.
  • Terminal/Gate Information : Details of where you need to be.
  • Booking Reference : Any booking codes or reservation numbers.

Accommodation Details

This is where you list the places you’ll be staying.

  • Hotel Name and Address : The name and location of the hotel.
  • Check-in/Check-out Time : What time you can enter and have to leave your accommodation.
  • Contact Information : How to reach the hotel or host.
  • Reservation Number : The booking reference or code.

Daily Activities

Break down what you’ll be doing each day, perhaps even by hour if your schedule is tight.

  • Day/Date : List the day and date.
  • Activity : What you plan to do, whether it’s sightseeing, a specific tour, or a meal.
  • Location : Where the activity is taking place.
  • Time : When the activity is happening.
  • Notes : Any extra details like what to bring, costs involved, or people to meet.

Transportation While There

This section lists out how you plan to get around once you’ve reached your destination.

  • Type of Transport : Bus, taxi, rental car, etc.
  • Estimated Costs : Approximate costs for each type of transport.
  • Important Locations : Addresses or contact information for transportation hubs like bus stops, metro stations, or rental agencies.

Meals and Dining

List out dining plans, whether it’s a restaurant reservation or a note to explore local street food.

  • Meal Time : Breakfast, lunch, dinner, or snacks.
  • Restaurant/Cuisine : The name or type of food.
  • Reservation Time : If applicable.
  • Location : Where it is, possibly with a map link.

Miscellaneous Notes

This is where any additional but essential details can go.

  • Packing List : Reminder of key items to pack.
  • Cultural Norms : Tips about the local culture, customs, or etiquette.
  • Language Tips : Common phrases in the local language.

Backup Options

In case your plans fall through, list some backup activities or places you’d like to explore.

How to Create a Travel Itinerary Template

Creating a travel itinerary template can make planning and executing your trip much smoother. The following step-by-step guide walks you through the process of crafting your own template, which you can reuse for future trips or adapt for specific vacations. Each step includes an example to help clarify the process.

Step 1: Choose Your Format

The first step in creating a travel itinerary template is deciding on the format you’ll use. Will it be a Word document, an Excel spreadsheet, or perhaps a mobile app designed for itineraries? Each format has its pros and cons. Word documents are easy to read and print but may be cumbersome to update. Excel spreadsheets are excellent for organizing data, but they might not be as visually appealing. Mobile apps are convenient but could be difficult to share with older family members who may not be tech-savvy.

Example : You decide to use a Google Sheets document so that it’s easily shareable with your travel companions and accessible from any device. You create a new spreadsheet and name it “Travel Itinerary Template.”

Step 2: Create Sections for Basic Details

Start by creating sections where you can fill in essential details like the destination, travel dates, and names of the travelers. This is like the cover page of your itinerary, giving anyone who looks at it an immediate overview of the trip’s essentials.

Example : In your Google Sheets document, you create cells for ‘Destination,’ ‘Travel Dates,’ and ‘Travelers’ at the top. You format these cells to be bold and underlined, so they stand out. You can later fill in these cells with the specific information for each trip.

Step 3: Include Contact and Emergency Information

Safety first! Having a section dedicated to contact and emergency information is crucial. Include contact details of each traveler as well as emergency contacts back home. If you’ve purchased travel insurance, those details should go here too.

Example : Below the basic details in your Google Sheets document, you create another section called ‘Contact and Emergency Information.’ You make rows for each traveler’s mobile number, email, and emergency contact. Additionally, you add a row for travel insurance details.

Step 4: Outline Travel and Accommodation Details

This is where the meat of your itinerary will be. Create subsections for flights, trains, or buses, and accommodations. For each, include categories like booking reference numbers, arrival and departure times, and check-in/check-out times.

Example : You add two new sections to your Google Sheets document—’Travel Details’ and ‘Accommodation Details.’ Under ‘Travel Details,’ you add columns for ‘Departure Date,’ ‘Departure Time,’ ‘Flight Number,’ ‘Terminal,’ and ‘Booking Reference.’ Under ‘Accommodation Details,’ you include ‘Hotel Name,’ ‘Address,’ ‘Check-In Time,’ ‘Check-Out Time,’ and ‘Booking Reference.’

Step 5: Plan Daily Activities

A section for daily activities allows you to plan out each day in as much or as little detail as you like. Depending on your travel style, you can outline activities by day or even by hour.

Example : In your Google Sheets document, you create a new sheet for ‘Daily Activities.’ You make columns for ‘Day/Date,’ ‘Time,’ ‘Activity,’ ‘Location,’ and ‘Notes.’ Under ‘Notes,’ you can add details like whether a reservation is needed, the cost of the activity, or items to bring.

Step 6: Add Sections for Transportation and Meals

A well-rounded itinerary also includes how you’ll get around once you arrive and where you’ll be dining. You may include approximate costs for transportation and whether you need to make dining reservations.

Example : Back in your main Google Sheets document, you add two new sections for ‘Local Transportation’ and ‘Meals.’ Under ‘Local Transportation,’ you add columns for ‘Type,’ ‘Destination,’ ‘Time,’ and ‘Cost.’ For ‘Meals,’ you include ‘Meal Type,’ ‘Restaurant Name,’ ‘Time,’ and ‘Location.’

Step 7: Include Miscellaneous Notes and Backup Options

Finally, include a section for miscellaneous notes like packing lists, language tips, or cultural norms. Also, add a section for backup plans in case things don’t go as expected.

Example : At the end of your Google Sheets document, you create a section titled ‘Miscellaneous Notes’ where you jot down essential items to pack or local phrases to remember. You also create a ‘Backup Options’ section and list alternative activities and their details, just in case.

Filling in Your Itinerary

Filling in the itinerary with actual plans and details is where the fun (and challenge) truly lies. This requires a fine balance between scheduling , spontaneity, and practical considerations. Below are some insights into how you can go about filling in your itinerary effectively.

Data Collection

Before you can start filling in your itinerary, you’ll need to collect all the necessary information about your destination. This can range from flights and hotel bookings to researching activities, restaurants, and local transport. You can gather this data from travel blogs, guidebooks, or even social media platforms like Instagram and Pinterest which are rich in travel inspiration.

Websites and Apps : Use platforms like TripAdvisor, Airbnb, and local tourism websites to find attractions and activities.

Local Culture : Understand local holidays, weekends, and peak seasons that could affect the availability or timing of certain activities.

Local Transportation : Check bus or train schedules, taxi availability, or the viability of walking between your accommodations and planned activities.

Costs : Research costs for activities, meals, and transportation to help you set a realistic budget.

Timings : Check the operational hours of attractions and activities, along with any free entry timings or days.

Scheduling Considerations

Filling in the actual schedule requires a consideration of both the time and feasibility of your plans.

Prioritize Activities : Not all activities and attractions are equal. Prioritize based on your interests and their importance.

Time Buffer : Always allow for some free time between activities. This accounts for travel time, rest, and any unexpected delays.

Geographical Proximity : Try to group activities that are close to each other geographically to save on travel time and costs.

Meal Planning : Don’t forget to account for meals. Whether you plan to eat at specific restaurants or are looking for more spontaneous dining experiences, it’s good to have a general idea of where and when you’ll eat.

Personal Rhythm : Are you a morning person or a night owl? Schedule demanding activities during the time of day when you’re at your best.

Common Pitfalls to Avoid

When filling in your itinerary, there are a few common mistakes that many travelers make.

Overpacking the Schedule : It’s easy to get carried away and try to fit in everything. This can result in a hectic trip where you’re always rushing from one place to another, making the trip less enjoyable.

Ignoring Local Norms and Timings : Forgetting to consider local meal timings, holidays, or siesta hours can affect your plans. For example, some European towns essentially shut down during afternoon siesta hours.

Not Accounting for Jet Lag or Fatigue : Especially for trips across multiple time zones, forgetting to account for jet lag can ruin your plans for the first few days.

Lack of Contingency Plans : It’s essential to have backup options in case your original plans fall through due to weather conditions, unavailability, or other unforeseen circumstances.

Skipping the Research : Not researching activities, locations, or transport can lead to logistical nightmares. Always read reviews, check maps, and compare options.

The level of detail in your itinerary depends on your personal preference and the type of trip you’re taking. Some people prefer a detailed, hour-by-hour plan, while others may want a more flexible, general outline. It’s usually a good idea to strike a balance, leaving room for spontaneity.

Should I include emergency contact information?

Absolutely. Including emergency contact information, along with details of your travel insurance, can be extremely helpful in case of unexpected situations.

How should I handle meal planning?

This depends on how structured you want your trip to be. You can pre-book all your meals, leave it entirely open, or identify potential dining options without making reservations. It’s a good idea to at least research dining options near your accommodations or planned activities.

What should I do if my plans change?

Flexibility is one of the advantages of having a digital travel itinerary template. If plans change, you can easily update your itinerary to reflect those changes. Always have a few backup options in case your initial plans fall through.

How do I make sure I’ve covered all bases?

Double-checking your itinerary, cross-referencing it with any booking confirmations, and having a second pair of eyes look it over can help you catch any mistakes or oversights.

What Is a Trip Itinerary?

A trip itinerary is an outline that covers a trip’s destinations, transportation, and stops. It can also take the form of a checklist that travellers use for guidance. According to the travel agency, North-South Travel, an itinerary is useful for five reasons , contributing to both preparation and the travel experience. Aside from ensuring the completeness of the trip essentials, it also helps in the management and prioritization of the travel expenditures. An itinerary also makes the trip easier and faster, allowing any traveller to have adequate time for many activities. So if anybody wants to make the best out of his or her trip, an itinerary can make a big difference.

How to Have a Flexible Travel Itinerary

Travelling can be a great or worst experience. The result depends on how a traveller prepares for his or her journey. If you don’t want to end up getting the worst one, here are some useful tips for you.

1. Check Your Budget

Travelling can be costly. This is why you have to make sure that your financial needs are taken care of to make your dream trip a memorable one. Your travel budget is a good determiner on whether to travel or not.

2. Estimate Travel Period

Take the time to check your calendar or schedule. To make the most out of your travel, you have to avoid conflicting it with other stuff, such as your mom’s birthday. If you are currently employed, you need to know how much vacation leave credits you have left. Knowing how long you will be gone allows you to get back in time for your other work agenda or personal plans.

3. Decide When to Travel

Never forget to make a travel schedule . There are three seasons of travelling – high season, low season, and shoulder season. High season means there will be many people and destinations will have high prices, but it’s also when the weather is the best. Low season is the complete opposite, while shoulder season is in between.

4. Set Activities

Trips can be of many purposes. It is essential to know what yours is to appropriately set what you want to do once you have reached your destination. If you are aiming to be relaxed, then sun tanning on the beach might be good for you.

How To Prepare a Trip Itinerary

Many people find itineraries challenging to prepare. Undeniably, it is if you don’t know what needs to be done in the first place. But no matter how difficult things are, there is always a workaround. In the case of preparing a trip itinerary, you can take heed on our outline of guidelines and insights below.

1. Gather Essential Information

Car rental quotations , hotel quotations, plane boarding tickets, and restaurant reservations are some of the essential information that you must look into ahead of time. By checking out in advance about where you will be renting your car or staying for the most time of your trip, you save yourself the time and hassle of getting confused right after you landed. Therefore, it maximizes your travelling experience.

2. Create a List

To have a clear overview of what to do during your trip, you must have a travel planning checklist . It helps you organize your tours and activities, and it also makes sure that you don’t miss a rare opportunity to enjoy out-of-town cultures.

3. Mark Stops

Research about the most visited roadside stops at your planned travel location. Including these stops in your trip agenda lets, you make the best use of your time learning about the place’s customs in a low-cost manner. Apart from saving yourself some dollars, the experience is rather genuine than those served at inexpensive hotels, resorts, and restaurants.

4. Set Budget

If you are a traveller, you should make it a habit to incorporate budgeting in your trip planners . It lets you get a better grip on what things you should be spending on. Also, doing so makes way for you to project the amount you should be bringing during your travel.

5. Be Open-Ended

Always bear in mind the reason for your travel. It’s a golden opportunity to let your hair down. So as much as possible, try to enjoy your trip even if things didn’t go as planned. Let’s say you lost your train ticket . You can always find an alternative to make it to your destination.

How much would it cost a traveller to go over the world in just a year?

The travel blog site, Earth Trekkers, estimated around USD 20,000 to USD 30,000. This figure was based on the writer’s experience, as well as those of the other bloggers.

Are there mobile applications that can smoothen my travel experience?

Yes, there are. Jennifer Allen of Review Geek listed six of the best trip planning applications. These consist of TripIt, Sygic Travel Trip Planner, Roadtrippers, TripHobo, Google Trips, and TripCase.

Is there a difference between itinerary and agenda?

Yes, there is. Itinerary refers to the travel schedule , specifically involving routes. Agenda, on the other hand, is a schedule of travel activities.

There is an Asian proverb that goes, “It is better to see something once than to hear about it a thousand times.” This only means that taking a trip is a great boost in an individual’s experience. Such benefit is the very reason why students and professionals take time to create travel consent forms or travel request forms . However, these documents are not enough to fully live through the journey. They need itineraries   to do so.

One Day in Phoenix Itinerary: Best of the City in 24 Hours

' src=

After road-tripping through North Arizona and Sedona, the natural next place to visit is the state capital, Phoenix, the 5th most populous city in the United States. Based on my personal favorite activities when I visited, I’ve put together a one day in Phoenix itinerary that will especially be useful if it’s your first time in town.

I spent a couple of days here, driving through different neighborhoods and parks, but the city is so overwhelmingly large that a Phoenix day trip is not really enough time.

But let’s work with what we’ve got, just make sure to include a tour of Frank Lloyd Wright’s Taliesin West and an evening hike up Piestew Peak. I’ll also suggest more places to visit if you have extra time.

Here’s a packed day trip itinerary for you to have everything conveniently in one scroll. And if you’re trying to get a lay of the land, this half-day guided tour covers many of the spots on this itinerary.

3 Cities & Nature Tour

Best for first-time visitors strapped for time

Early Morning:

  • If you’re up for an early wake-up, go for a tiny hike up  Papago Park’s Hole-In-The-Rock trail.
  • In the same park, head to  Desert Botanical Garden.
  • Alternatively:  You can also start your day with a  balloon ride at sunrise ( Click here to book ).

Mid-Morning:

  • I’m a huge Frank Lloyd Wright fan, so a visit to  Taliesin West  was a must for me. But it is far north, and their guided tours are quite expensive.  Note: They only have guided tours from 10 am, with the last starting at 1:20 pm , then officially closing at 5pm.

Early Afternoon:

  • Get a feel of contrasts walking through  Old Town Scottsdale  to  Fashion Square  across the river.
  • Optional: Wonderspaces  (in Fashion Square) is one of my favorite immersive art x tech collectives.

Afternoon:

  • Head to downtown Phoenix  for more museums and artwork.
  • Check out the  Roosevelt Row Arts District  for street art, local galleries, and trendy bars.
  • Eat at  The Churchill  for food court-style dining and artisan pop-ups.
  • See the entire horizon twinkling at the top of  Piestewa Peak  in the Phoenix Mountain Preserve. Note: The trail is quite steep and more challenging at night, in case you prefer having a guide here.

Quick Facts to Visiting Phoenix

I was surprised when I found out that Phoenix was the fifth-largest city in the US. But once you experience driving through it, you’d believe it! With over 300 days of sunshine per year, this sun-soaked desert metropolis was actually once the floor of a shallow sea approximately 1.8 billion years ago. Totally a desert city now.

What to Do in Phoenix in One Day

Early morning: papago park.

Papago Park is a good place to start if you’re up for early mornings. The famous hike there is short, and the botanical garden opens early at 8 am, so it doesn’t cut into your other activities.

Hole-In-The-Rock Trail

The Hole-In-The-Rock Trail is a beloved local gem of Phoenix. This short, relatively easy hike gets you views of the city and surrounding desert. Despite being only 0.3 miles long, it’s a nice hike with a slight elevation change of just around 200 feet.

The trail leads you to a large sandstone hill with a hole in it. It’s more like a natural window carved out by the elements over thousands of years. This ‘window’ is the perfect framing for your sunrise photos!

Because of its accessibility, it can get a bit crowded, especially during sunrise and sunset.

Phoenix Papago Park Hole Trail

Desert Botanical Garden

Right around the corner, the Desert Botanical Garden features a 140-acre wonderland of over 50,000 plants across five thematic trails. These plants represent a broad spectrum of desert plants, including agave, cacti, and numerous species native to deserts worldwide. Of course, you’ll get to see the giant saguaro cactus, the symbol of the American Southwest.

Aside from walking along the plant-laden trails, you can view the glass artwork installations by Dale Chihuly or pay a visit to the Butterfly Pavilion. If you happen to be around in the evening, the garden paths are lit with luminaria bags, and live music performances are part of the garden’s seasonal events.

Over the City Balloon Ride at Sunrise

If you’re up for something a bit fancier, how about kickstarting your day with a hot air balloon ride over Phoenix at sunrise ? Despite being in the Sonoran Desert, Phoenix is actually built around hills and mountains, making it an interesting cityscape to see from up above.

After about an hour of flying, you’ll descend and have a classic champagne toast to celebrate your safe landing, a ballooning tradition since the 18th century. This experience usually includes a fancy breakfast served in the desert.

It’s a bit pricey, but this is a dang popular activity and the incredible views make it a worthy splurge.

Mid-Day: Best Things to Do in Scottsdale

Technically not in Phoenix, you could spend an entire day just in Scottsdale, hitting its various highlights and swinging at golf courses. As we only have one day, here are some places I recommend checking out.

Taliesin West

A quite far drive up north, Taliesin West is probably the most famous of Frank Lloyd Wright’s works. The winter home and studio of the legendary architect have been converted into a museum where you can peek into his and his student’s lives. It’s literally now a UNESCO World Heritage Site and a national historic landmark.

Wright believed in harmonious living with the environment, which is evident in his seamless integration of indoor and outdoor spaces. Drawing inspiration from local materials and the natural landscape, he created innovative building designs using materials found in the local desert.

Interior of Phoenix's Taliesin West

There are several tours to choose from, each highlighting different aspects of Wright’s life and work. Personally, I went with the 90-minute guided tour, and it really brought the architecture to life.

However, if you’re looking for a more budget-friendly option, there’s also a 60-minute audio tour that you just connect to your phone. Also, if you’re a student, ask for the discounted tickets!

Book your tour in advance  here , as they tend to sell out quickly.

Old Town Scottsdale

Old Town Scottsdale takes you back in time with its Western-themed historic district that combines modern amenities and old-world authenticity. This part of town preserves its history with brick sidewalks, old-fashioned streetlights, and rustic storefronts while having trendy shops and art galleries.

The unique shops have everything from Native American crafts and Southwestern art to fashionable clothing and jewelry. The famous Old Town Candy & Toys has nostalgic sweets and cool toys.

The Scottsdale Arts District is renowned for its high concentration of galleries. If you happen to go on a Thursday evening, the galleries host the weekly ArtWalk event with public art displays, artist demonstrations, and live music.

Old Town Scottsdale also hosts the city’s largest farmers market every Saturday.

Phoenix Old Town Scottsdale Cowboy Sign

Fashion Square

This upscale shopping center with over 200 stores makes it one of the largest malls in the Southwest. And it is just across the street from Old Town Scottsdale, a huge contrast.

Between them is a really nicely built-up river that divides them. There was an art event on the night we went, so the entire riverside was filled with neon sculptures and artsy mist portals.

The Fashion Square is a great place to treat yourself to a gourmet meal at one of the high-end restaurants like Ocean 44 or Toca Madera.

Wonderspaces Arizona

If you’re familiar with Meowwolf, Wonderspaces follows a similar concept. Let me start by saying that if you’re into interactive technology art, Wonderspaces never fails to impress. I’ve been to the Austin location twice.

The artwork is incredibly creative, and they have a rotating selection of extraordinary installations, so it’s always a different experience. The exhibits are usually changed every few months.

Plus, there’s a bar and lounge area to grab a drink, relax, and discuss the amazing art you’ve just seen.

Afternoon: Best Things to Do in Phoenix

Choose your pick of premier museums.

Phoenix is home to several top-rated museums that cater to different interests. The ones I included in the itinerary above are the ones I find the most interesting, but here are a few options closer to the downtown area:

First on the list is the   Heard Museum . Renowned for its extensive collection of Native American art, the Heard Museum is a deep dive into the cultures of the indigenous peoples of the Southwest.

The  Musical Instrument Museum   showcases over 7000 instruments from around the globe. You can hear, see, and even play some of the instruments here.

Mark  Phoenix Art Museum  for a diverse collection spanning different eras, mediums, and cultures.

Visit the  Arizona Science Center  for hundreds of interactive exhibits about the human body, journey through the farthest reaches of outer space, or feel what a simulated monsoon is like.

Then a bit outside town in nearby Tempe, the Center of the Arts (pictured below)

Aerial View Of Garden Of Heard Museum In Phoenix, Arizona, United States.

Roosevelt Row Arts District

Roosevelt Row Arts District, or RoRo, is known for its colorful murals, art galleries, and monthly art walks, which turn the area into a street festival. This is my favorite part of downtown, and I had a blast watching graffiti artists putting up new work.

Aside from outdoor murals, art boutiques and galleries line the streets. And the district has many trendy eateries and breweries.

The area is quite large, so join a local guide to find the best artworks.

Everyone, from artists to local businesses, comes together to celebrate creativity and community during the First Fridays Art Walk. This event, held on the first Friday of every month, is the country’s largest self-guided public art event.

Sunset in Roosevelt Row Arts District in Phoenix, southern arizona

A Stroll Through the University of Arizona Campus

The university is basically downtown. You can walk through the main campus, but around the area are also places like the  University of Arizona Museum of Art  and the university’s  Arizona Stadium.

If you’re interested in the wonders of outer space, there’s the  Flandrau Science Center & Planetarium  or the  UA Campus Arboretum,  which houses a diverse collection of trees.

Her Secret is Patience

I came into downtown downtown basically to check out this art piece. Resembling a floating, luminescent jellyfish in the desert sky, Her Secret is Patience is a public art installation. Inspired by a quote from Ralph Waldo Emerson, it’s a tribute to the beauty of patience and the enigma of time.

Suspended 100 feet above the Civic Space Park, this piece of art is illuminated at night by colorful LED lights and shifting patterns.

Verdict:  It’s cool, but I shouldn’t have driven out of my way for it. I would’ve spent more time in the arts district.

Her Secret Is Patience in Phoenix Downtown Civic Space

Evening Hike: Piestewa Peak

This is by far the most memorable thing I did in Phoenix. Even though it’s more challenging at night, I wouldn’t exchange the nighttime view for any other time. Plus, you’re not under the unshaded desert heat.

If you’re a hiker, go for a night hike at Piestewa Peak. Just do it. Situated within the Phoenix Mountains Preserve, Piestewa Peak is the second-highest point in the Phoenix Mountains, commanding an elevation of 2,610 feet.

The trail is about 1.2 miles long each way, with a climb of 1,200 feet in elevation. It was pretty steep the whole way. But you’ll have panoramic views of the Valley of the Sun at the peak. And at night, the entire city twinkles with lights all below you and the stars above you.

Although it’s a popular trail, we barely ran into anyone on a weekday night. Although I went post-dinner, I think timing your hike to reach the peak around sunset would also be stunning.

Where to Stay in Phoenix

Downtown Phoenix and Old Town Scottsdale are my top neighborhood recommendations to stay in. Scottsdale has more of an affluent vibe, with a great art scene and proximity to outdoor activities. Downtown Phoenix has more nightlife and easy access to artistic venues and sporting events. Otherwise, Tempe, Glendale, Biltmore, and Paradise Valley are other good and safe neighborhoods to stay in.

Best Hotels in Downtown Phoenix

Places to visit with more time, other things to do in phoenix.

Is 1 Day Enough for Phoenix

While it’s possible to scratch the surface of what Phoenix has to offer in a single day, this city is physically too big to call it after a day. The itinerary I laid out above is a rush, with lots of driving, and may feel rushed.

Additional days can be spent slowing down the pace, visiting more museums, attending sporting events, or going for day trips at nearby national parks .

Best Time To Visit

Phoenix is warm and sunny throughout the year, making it attractive, especially as a winter getaway. The best seasons to visit are winter (December to February) and spring (March to May). Temperatures are great for outdoor pursuits such as hiking and discovering the art scene. Spring brings slightly warmer temperatures but remains comfortable and has the added beauty of blooming desert flowers.

On the other hand, summer (June to August) can be extremely hot, with temperatures often exceeding 100°F. If you can handle the heat, this season sees fewer crowds and lower hotel rates.

How to Get Here

Phoenix is easily accessible from anywhere.

By Air : Phoenix Sky Harbor International Airport (PHX) is the primary airport and one of the busiest airports in the nation. From the airport, downtown is only a 10-minute drive away.

I’ve actually found it to have some of the cheapest domestic flights in the country. Score the best flight prices using  Expedia .

By Road : the Phoenix area is well-connected by a network of interstate highways. If you’re coming from the West Coast, Los Angeles is about a 6-hour drive on the I-10 East. From the east, Tucson is just a 2-hour drive on the I-10 West. If you’re driving from the north, Las Vegas is about a 4.5-hour drive on the US-93 South.

Once you’re in the city of Phoenix, rent a car if you don’t have one. Find great rental car deals with  DiscoverCars . Otherwise, the public transportation system includes buses and light rail, but it will only reach some attractions and hiking spots.

Final Thoughts: 24 Hours in Phoenix

I think you’ll be pleasantly surprised by this sun-soaked city. There are certainly a lot of popular attractions to add to this day itinerary, including being surrounded by hiking trails right in the town and having lots of unique museums.

If you’re up for more adventures in the Grand Canyon state, check out our other Arizona guides below.

SIARGAO TOURIST SPOTS + ITINERARY (2024)

by thepinay solobackpacker | Sep 17, 2024 | Philippines , SIARGAO , Surigao , Tourist Spots | 0 comments

Detailed travel blog about Siargao Tourist spots and things to do and Siargao itinerary.

Siargao exudes with dramatic coastlines, tropical island cliches, palm-fringed roads, and emerald green coves that are blissfully devoid of luxury trappings. No wonder it is now a favorite of foreign and local tourists alike. It was my first time to visit Siargao, so I made sure I try the popular tours in the island. I allotted 5 days for our trip, so we can fully enjoy the tour and have some free time. Unfortunately, the weather didn’t cooperate on our last day, so we missed Cloud 9, the popular surfing spot.

Surfing was the reason why Siargao was put on the tourist map. Siargao is dubbed as the “Surfing Capital of the Philippines.” And surfing in Siargao can be done all-year round, you just have to know where to go, and the best way is to ask the local surfers. The peak swell season in Siargao is from May to November, but if you’re into surfing, best to visit around September to November during the rainy seasons in the Philippines. There are also international surfing competitions being held on the Siargao every September.  If you’re not into surfing, don’t fret, because Siargao will surprise you with its immaculate natural attractions that will make your jaw drop! We visited during summer – May, and we were able to enjoy the island with a good weather during our stay, except our last day. The summer season, from March to May is a good time to visit if you want to experience island hopping and land tours.

Here’s my detailed guide to Siargao Tourist Spots . I also wrote a sample Siargao Itinerary below, just scroll down.

SIARGAO TOURIST SPOTS: DAKU ISLAND

DAKU ISLAND

NAKED ISLAND

This island is named such because it is virtually empty/naked. No trees or plants or anything. Just pure cream sand lapped by turquoise sea. It’s a good island for swimming, sunbathing, and snorkeling, but it can get pretty crowded during summer so I didn’t really enjoy it. There’s a tourist guide here that offers to take drone videos and shots for a minimal fee.

BOODLE FIGHT AT DAKU ISLAND, SIARGAO

DAKU ISLAND

Frolic in the white powdery sand and cerulean waters of Daku Island. The usual lunch stop for the Tri-Island Hopping Tours in Siargao. You can  go swimming or snorkeling here while you wait for the local cooks to prepare the seafood lunch (boodle fight) included in the tour package. The expansive shore here is dotted with native huts where you can relax after swimming. I also heard that during the surf season, it’s also a good spot for surfing.

  • Daku Island Entrance Fee: ₱100 ($1.76) per person

SIARGAO ISLAND HOPPING: GUYAM ISLAND

GUYAM ISLAND

  • Our last stop for our Siargao Island Hopping is Guyam Island , a small, palm-fringed island off the coast of General Luna, Siargao . You can explore the island in a few minutes. There are mats and tables scattered around here where you can sit while enjoying some fruit shakes and snacks (fries, burger, etc.) that you can order from a store here. There taro milkshake is really good. Try their burger and fries as well. There’s also a swing nearby where tour guides can take human drone videos. Just give them a tip, ₱50 ($0.88) to ₱100 ($1.76) will do. You can also play beach volleyball here.

SIARGAO TOURIST SPOTS: SECRET ISLAND

SECRET ISLAND, SIARGAO

  • SECRET ISLAND – This isn’t actually part of the tour package but our guide brought us here as a surprise tourist spot. Secret Island is actually a sandbar that appears when the tide is low. The water here is so clear and turquoise, and the sand is powdery white, perfect for swimming. Be careful while walking here, please do not step on the starfish here, please don’t touch them nor take them out of the water for photo ops.

OTHER ISLANDS:

Because it was my first time in Siargao, I’ve yet to visit the other islands. I only booked the basic Tri-Island Hopping Tour. So, I really can’t tell you anything about it. I learned about these other islands when one of the vans offering the tour was outside our resort and the driver asked us if we booked the Corregidor Island tour because they’re supposed to pick up someone from our hotel.

COCONUT MOUNTAIN VIEW  (COCONUT TREES VIEW DECK)

Aside from surfing at Cloud 9, one of the most popular tourist spots in Siargao is the Coconut Mountain View.  This coconut plantation is actually situated just along the Siargao Circumferential Road, so be careful when taking photos of your friends or group tour mates because of the passing vehicles. Here, you can enjoy a scenic view of coconut trees as far as your eyes can see.

SIARGAO TOURIST SPOT: COCONUT MOUNTAIN VIEW

MAASIN RIVER

Another popular Siargao tourist spot near the Coconut Mountain View along the Siargao Circumferential Road in Dapa, is the Maasin River . This scenic emerald green river is fringed by palm trees and was first made popular by a foreign influencer on Instagram because of the bent palm tree here. Later on, locals installed a swing, and people started flocking here for the Tarzan Swing. Then another local offered his small paddle boat  for a minimal fee to tourist to cruise the river. Unfortunately, a storm eventually destroyed the poor palm tree. Maasin River is now quite developed, the bent palm tree was replaced by a viewing and cliff jumping deck. Tourists can also go boating here.

SIARGAO TOURIST SPOTS: MAASIN RIVER

  • Entrance Fee: ₱50 ($0.89)
  • Guide Fee: Up to you, but I read somewhere it’s ₱50 ($0.89) per person. We tipped more, because our guide told us it depends on us, so we didn’t know how much to give. They can take a human drone shot here.

MAASIN RIVER SIARGAO

 MAGPUPUNGKO ROCKPOOL

Siargao exudes with dramatic coastlines blissfully devoid of luxury trappings. Another popular tourist destination in Siargao is the Magpupungko Rockpool . A natural rockpool with emerald green water that is perfect for swimming.  This is one of my favorite spots in the island. Just make sure to time to your visit during low tide when the rockpool is exposed. And make sure you’re wearing appropriate shoes – aqua shoes will do since you will be walking along  sharp, dead coral rocks.

SIARGAO TOURIST SPOT: MAGPUPUNGKO ROCKPOOL

If you’re the adventurous type, you can even cliff jump here. Nearby is Magpupungko Beach with incessant waves, but I wouldn’t dare swim there.  There’s a local guide that offers live vest for a minimal fee and would also take your photos and videos and hold your gadgets while you go swimming. Just give him a tip. ₱100 ($1.78) – ₱150 ($2.67) per person should do. Up to you.

Magpupungko Rockpool is usually the spot for lunch for the Siargao Land Tours. The shoreline here is dappled with small eateries. Viands starts at ₱75 ($1.78) per serving. The meals is usually included if you join the group tour.

  • Opening Hours: Anytime
  • Address: Centro (Población), Pilar, Surigao del Sur
  • Guide Fee: ₱100 ($1.78) – ₱150 ($2.67) per person should do. Up to you.

SUGBA LAGOON

Surigao del Norte is oozing with immaculate natural attractions like the emerald green lagoons and lakes dappled around the region. Sugba Lagoon is another famous tourist destination that is part of the Siargao Land Tour .  This gorgeous lagoon with clear sea green to blue green water is wrapped by jungle-clad hills, ideal for swimming, kayaking, cliff jumping, and snorkeling.  This is one of my favorites stops during the Siargao Land Tour.

SIARGAO TOURIST SPOTS: SUGBA LAGOON

Even the journey to Sugba Lagoon from Del Carmen Pier is so worth it. You’ll pass by scenic mangrove forests amidst local communities where houses are built on stilts.

  • Entrance Fee: ₱100 ($1.78)
  • Boat Fee Rental at Sugba Lagoon: ₱2,150 ($38.32), good for 6 pax

3. SOHOTON COVE TOUR

You don’t have to empty you wallet and fly to Palau to swim with the jellyfish, because Sohoton National Park   can offer that to you for a rather affordable rate! Head to Bucas Grande and be stunned by the caves, lagoons and postcard-perfect coral life! Good news is, you can reach Sohoton via Siargao day tours now. Though I still recommend staying at a day or two in Bucas Grande to explore its natural attractions, the Sohoton Cove Day from Siargao can let you experience the beauty of this ruggedly enchanting destination in a day.  The tour includes a visit to the following:

  • swimming with the stingless jellyfish at Sohoton Lagoon
  • cliff jumping at Magkukuob Cave
  • swimming at the luminous Hagukan Cave
  • lunch, cliff jumping, and swimming at Tiktikan Lagoon

*The Sohoton tour guides and boatman are really hard working and helpful. They will take your photos, assist you all the way, and make sure your gadgets are safe. So please if you can, give them some tip.

Siargao is the Surfing Capital of the Philippines and this surfing haven has an all-year-condition for surfing. To know the best spots for surfing, just ask the local surfers for recommendations, because the surfing spot is different every season.  The best season for surfing in Siargao is September to early December and all surf spots are good.

THINGS TO DO IN SIARGAO: SURFING

The most popular surfing spots in Siargao during summer are Cloud 9, Cemetery, Pacifico, Quiksilver, Jacking Horse, and Tuason.  Meanwhile, during December to March, you can try the lesser-known spots like Pilar, Giwan, Rock Island, Stimpy’s, Tangbo and Salvacion.

If you’re a first timer in Siargao, you probably want to get to Cloud 9, the most popular surfing spot in the island. This place is actually located in General Luna, and since it’s not usually part of the tour packages, you have to get there on your own. Best time to visit for first timers is during low tide and sunset. You can walk on the famous boardwalk and enjoy the sunset and watching the surfers.

  • Opening Hours: Open anytime
  • Address: Cloud 9, General Luna
  • GPS Location: 9°48’49.2″N 126°09’54.5″E
  • How to get to Cloud 9: You can either rent a tricycle from your accommodation or General Luna town proper, or rent a motorbike and drive to get there.

I honestly haven’t tried surfing in Siargao because our time was limited. It was my first time in the island, so I prioritized the tours. I thought I could visit Cloud 9 on our last day but it was raining and the place was so far from our resort, so, we decided to look for the Secret Beach nearby instead. Anyway, if you’re looking to try surfing in Siargao, there’s a plethora of trained surf instructors that can assist you and help you find a surf board for rent. You can also rent surfboards in advance, especially during surf peak season to secure one. You can rent through the link below.

SIARGAO SURFBOARD RENTAL (5 HRS): RESERVE HERE

siargao surf lesson (2 hrs with surfboard + instructor): book here,  5. wakeboarding.

Not everyone knows there’s a wakeboarding park in Siargao, and it’s in General Luna. We drove by motorbike going here, and the road fringed by coconut trees was pretty scenic. I find Siargao Wake park pretty relaxing, as it is peppered with towering palm trees and was uncrowded during our visit. It is home to 2 lakes; the main lake is about 100 m long and 30 m wide and is connected by a pool gap to the smaller lake. The main lake is where beginner and intermediate riders ride.

SIARGAO TOURIST ATTRACTION: SIARGAO WAKEPARK

Wakeboarding in Siargao is not just for adults, it’s also good for kids, perfect if you’re looking for a family activity here. During our visit, there was a family with kids trying wakeboarding, and surprisingly, they learn better than adults! They can stand on the surfboard immediately, unlike us! LOL Aside from wakeboarding, Siargao Wake park also offers hydro foiling, surfing, and water zipline. They also have a refreshing restaurant here, perfect for drinking and dining after your session.

6. SUNSET WATCHING AT AFAM BRIDGE (CATANGNAN BRIDGE)

Catangnan-Cabitoonan Bridge in Siargao is one of the best spots for sunset-watching in Siargao, with unobstructed view of the blazing sky at dusk. This 349-meter bridge that connects Brgy. Catangnan and Cabitoonan village is lighted by solar lights. It’s a popular hang-out spot for tourists and locals, and is now nicknamed Afam Bridge because of the foreigners hanging out here. This is a bit of a drive from downtown General Luna so make sure you leave about 30 minutes from your location to get here before the sunset. Sunset time vary every day, just Google the time. The area before the bridge is packed with stores selling food and souvenirs, there are also restaurants and bars nearby.

Siargao Things To Do: Sunset watching at Afam Bridge

  • Opening Hours: anytime
  • Address: General Luna, Siargao
  • How to get to Afam Bridge (Catangnan Bridge): You can either rent a tricycle from your accommodation or General Luna town proper, or rent a motorbike and drive to get there. See GPS location above.

7. BEACH HOPPING

MALINAO BEACH

My hotel – Ferra Resort is tucked quietly in Malinao Beach.  If you’re looking for an uncrowded, cream sand beach in Siargao, you can get here from downtown General Luna for about 20 minutes.  It’s a swimmable beach during summer, fringed with palm trees.  Some areas have huts where you can rent if you’re a large group.

SIARGAO TOURIST ATTRACTION: MALINAO BEACH

  • Address: Malinao, General Luna
  • GPS Location: 9°45’55.1″N 126°07’39.2″E
  • HOW TO GET TO MALINAO BEACH: Ride a tricycle from General Luna. Fare is roughly ₱50 ($0.88) per person. Alternatively, you can rent a motorbike and drive yourself to Malinao Beach, travel time is roughly 15 minutes.

  DOOT BEACH (SECRET BEACH)

A popular beach near Malinao Beach is Doot Beach (Secret Beach), we wanted to get here from Malinao Beach but it was already raining heavily. So, we decided to just spend the day in Malinao Beach. Some friends have visited Secret Beach and can attest that it’s a swimmable, powdery white sand beach. Nadine Lustre, a famous Pinay actress, who lives in Siargao usually posts this beach on her IG account, reason why it has now rose to fame.

  • Address: Dapa, Surigao del Norte
  • GPS Location: 9°45’34.0″N 126°07’08.6″E
  • HOW TO GET TO DOOT BEACH: Ride a tricycle from General Luna. Fare is roughly ₱75 ($1.32) per person. Alternatively, you can rent a motorbike and drive yourself to Malinao Beach, travel time is roughly 25 minutes.

PACIFICO BEACH

Blissfully situated on the northeastern shore of Siargao Island, this is another favorite surf spot in the island. It’s about an hour drive from General Luna. If you’re doing a DIY Siargao Land Tour by motorcycle, you can include this in your itinerary.

  • Address: Siargao Circumferential Road, San Isidro, Surigao del Norte
  • GPS Location: 9°56’40.7″N 126°06’01.4″E
  • HOW TO GET TO PACIFICO BEACH: You can rent a motorbike and drive yourself to Pacifico Beach, travel time is roughly 1 hour.

8. FOOD TRIP

What I like about Siargao compared to other tropical islands in the Philippines is the abundance of restaurants and bars where food is an attraction in itself. Problem is, you’ll be overwhelmed with choices, so best to research in advance before you trip. My big mistake was, we didn’t. Thankfully, a Cebuano friend asked the question “Where to Eat in Siargao?” on his Facebook account, and I just noted the answers from his friends. The recommendations where actually good, but we weren’t able to try them all since we only needed to eat out for dinner because our tours already cover lunch.

KERMIT SIARGAO

Serves the best brick oven pizza in Siargao. It’s a restaurant in downtown Siargao serving Italian food like pizza and pasta, and Filipino and Asian dishes as well. We ordered Kermit brick pizza topped with provolone, gorgonzola, parmesan and Parma ham for ₱630 ($11.11), herbed crusted Mahi-Mahi or Tuna ₱420 ($7.40) and Grilled Pork Chop with Polenta ₱390 ($11.11). We loved the Kermit Pizza and the Herbed Tuna! The grilled pork chop is a NO for me, it was hard to chew, but I like the polenta that comes with it. Their pasta is also popular too, but we didn’t order it because we want to eat rice. LOL Kermit Siargao Restaurant doesn’t accept reservation, only walk-in. Be there early as the line can get pretty long during summer and peak season especially during dinner! But it was worth the wait. They also have a bar, but we didn’t get to try their drinks.

My uncle excited to dig in Kermit Siargao’s food. Thank you for the dinner treat, Tito Glenn!

CEV (Ceviche and Kinilaw Shack)

This was the top recommendations on the FB thread of my friend so we really wanted to try it. Almost everyone that commented, suggested CEV. Problem is, they’re known for serve ceviche and kinilaw type dishes and we didn’t want to eat that after our tiring tour. We wanted to try comfort food like pizza and pasta and rice meals. So, we tried to visit it on our 3 rd day, but we were no longer allowed to enter since the kitchen was already close. Turns out the restaurant is only open until 9:00 PM, and last order is at 8:30 PM. So we made sure to return earlier on our 2 nd try and thankfully, we got a table after a few minutes of waiting.

The food? It was worth a try! We love their ceviche and kinilaw’s punchy flavor. They’re fresh and tasty. We tried their Pacifico (Ceviche), which is their catch of the day with calamansi, coconut milk leche de tigre, boiled sweet potato, fried sweet potato, roasted corn, chili garlic oil, and onions, priced at ₱340 ($6.08). We also wanted to try their kinilaw, so we had General Luna ₱340 ($6.08), which is their catch of the day drenched in coconut milk and vinegar and mixed with grilled eggplant, salted black beans, spiced mango, onions, & basil oil paired with garlic rice. We also had Grilled Fish Jaw (panga) for ₱240 ($4.29).

HAPPINESS RESTAURANT SIARGAO

We stumbled on this place while looking for a place to dine in Siargao. We were so disappointed with our restaurant choice the previous night so we decided to find a place that looks decent and packed. The place was crowded because of the Happy Hour running at their bar during our visit. They even shut down the main lights at 9:00 PM for the bar, but they gave us a little lamp on the table, so we were quite disappointed with that. I hope they separate the restaurant from the bar. The food was great though. We had Hi Baba and Hummus perfectly paired with pita, they also charge extra 5% as service charge.

  10. SHOP FOR SOUVENIRS

Siargao is peppered with souvenirs shops that never stopped expanding. Everywhere you go, you can find a shop that sells souvenirs. And they’re pretty affordable, especially the shirts, cropped tops, caps, bag and key chains. We’re able to buy shirts worth ₱150 ($2.67) up. Your best bet is buying along General Luna’s Tourism Road. But there are also shops found in popular tourist spots like Maasin River. Nogs Souvenir Shop is one of the popular tourist shops in Siargao. You can also find specialty shops nearby if you’re looking for something unique or handcrafted.
