It happens every time travelers book a flight. No matter whether they eventually buy tickets and board a plane or cancel the reservation and stay home, the deed is done. Data on them has been collected and saved in the form of a passenger name record or PNR. Introduced to facilitate the exchange of booking information between airlines, PNRs have become an important component of the travel industry. They act as booking confirmation, a repository of valuable commercial information, and even a weapon against global terrorism. This article describes the important technical and legal aspects of PNR creation and usage. A passenger name record , also called a booking file, is a digital document with details of the itinerary for a passenger or a group of passengers traveling together. It’s an essential part of the flight booking process that precedes and enables ticketing.

1. Data collection. The essential trip data is gathered when an individual passenger or organization books a flight via a travel retailer — a carrier’s website, online travel agency (OTA), travel management company (TMC), tour operator, or other channels. 2. Data submission to the CRS. The reservation data is transmitted to the airline’s central reservation system (CRS). Most airlines don’t run their own CRS . Instead, they host inventory and manage bookings on one of the major global distribution systems (GDSs) — Amadeus, Sabre, or Travelport — which function as data warehouses and aggregators. Though PNR codes look like random mixtures of characters, in fact, airlines apply special algorithms to place the letters and numbers in a certain sequence and avoid duplicating already existing combinations. When generating references, carriers also strive to recognize and censor profanity. Codes can be repeated but only long after the trip under the same PNR is completed.

Why airlines need Super PNRs

Eventually, all participants send record locators (PNR numbers) back to the Super PNR holder, connecting documents related to a particular itinerary and ensuring the exchange of updates. As a result, the same trip can get several PNR numbers in different reservation systems. A passenger receives a booking reference to the Super PNR that combines all parts of the trip. A PNR multiplies each time several systems are involved in the reservation. If, for example, a travel agent uses Amadeus to book a flight operated by a Sabre-hosted carrier, there will be at least two PNRs with their own record locators. The entire process gets much simpler when agents and all providers serving the itinerary use the same GDS. This enables sharing a single PNR with just one record locator rather than creating multiple copies under different codes. Now, that we've addressed key technical details and terms, let’s proceed to the most essential thing about PNRs — their content.

Mandatory data elements

To easily recall the most essential data elements, Sabre suggests using the acronym PRINT, which stands for:

  • phone either a traveler's or travel agent's to enable contact;
  • received from field indicating the last person who has made changes in the PNR, typically a passenger or travel agent;
  • itinerary that must include at least one segment of the journey;
  • name of a passenger or passengers, containing the full first and last name (the middle name is not required); and
  • ticketing specifying how and when a ticket is to be issued.

The mandatory elements can be arranged in any order and modified at any time after the booking is made. In the absence of at least one of them, it’s impossible to complete a reservation, create a PNR, and obtain a record locator.

Optional data elements

Mandatory parts contain essential trip details, describing where and when a particular passenger intends to fly. Optional components are added according to the commercial needs of airlines and may include

  • additional itinerary segments that can be a flight, hotel reservation, car rental, etc.;
  • payment method (cash, credit/debit card, or check);
  • credit card number;
  • passenger email address;
  • frequent flyer number;
  • travel agency name and address;
  • fare and pricing details;
  • restrictions that may apply to the ticket;
  • age details relevant to the travel (for example, unaccompanied children or elderly people who need assistance);
  • special service requests (SSRs) like meal or seating preferences;
  • agency service fees;
  • other remarks related to the trip; and
  • historical changes to the PNR.

A payment method, also called a form of payment, is one of the most important optional elements since it’s mandatory to issue a ticket and complete the booking process. This information is added to the PNR file after a passenger pay for the flight. In different CRSs and GDSs, the same data elements can be presented under different names and in a different order, split into two fields or, vice versa, grouped under one heading. This striking diversity hampers the effective evaluation and processing of data collected by airlines. So, when security bodies decided to systematically review PNRs as a part of counter-terrorism measures, they insisted on the implementation of a special field with a strict structure.

In 2009, the US Transportation Security Administration (TSA) implemented the Secure Flight program to screen passengers before they board aircraft flying to, from, or over the United States. Under this mandate, PNRs of travelers making for the Land of Liberty must contain secure flight passenger data (SFPD) elements — such as:

  • full name with the middle name or initial if it appears on the ID card, passport, driver’s license, or another valid identity document with the photo;
  • date of birth ;
  • gender ; and
  • redress number issued by the (TSA) to facilitate identity checks. This unique number is particularly important if a passenger has a common name shared by many people or if he or she has already been misidentified in the past when crossing US borders.

Besides that, the US and more than 60 other countries require airlines to collect advance passenger information (API) that includes data travelers have to reveal at the border control — passport details, citizenship, place of residence, and even the address of the first night spent in the country for travelers to the US. Some of the API elements can be extracted from the PNR. Moreover, both are often regulated by the same documents. In the EU countries, the use of PNR and API data for crime and terrorism prevention is ruled by the PNR Directive issued in 2016. However, advance passenger information has nothing to do with the convenience of carriers and benefits security authorities rather than airlines.

Commercial use of PNR data and privacy concerns

While PNR data is extensively used to fight terrorism, its commercial application is limited by privacy concerns. Data-rich records capturing the habits and behavior patterns of passengers seem like a gold mine for training machine learning models that will help airlines with dynamic pricing , customer segmentation, and other complex tasks. However, strict data privacy regulations hinder airlines from sharing information with research centers, start-ups, and IT vendors to create data-driven apps and extract valuable business insights. Say, the above-mentioned PNR Directive prohibits processing sensitive data like special meal requests or seat preferences. All PNRs must be depersonalized six months after the trip and deleted in five years. In the US, PNR data obtained from commercial carriers is stored in the Automated Targeting System . Just as in the EU, PNRs are depersonalized after six months. In five years, records are moved to a dormant database where they remain available for another ten years — for security purposes only. In truth, “PNRs cannot be deleted,“ Edward Hasbrouck, travel expert and author of the Practical Nomad book, argues . “Once created, they are archived and retained in the CRS/GDS, and can still be viewed, even if you never bought a ticket," he explains. " To cancel or delete a data element in a PNR means to move it from the live portion of the PNR to the permanent history portion. To cancel an entire PNR means to move it from active storage to archival storage.” So, PNR data accumulated over the years can eventually be used — by criminals, by government bodies, or on a good day by commercial structures.

The future of PNR: One Order

The future of PNRs is likely to be engineered by ONE Order — an extension of IATA’s New Distribution Capability (NDC) program facilitating the direct distribution of travel products and smooth data exchange among different platforms. Currently, airlines have to deal with three types of travel records — PNRs focusing on itinerary details, e-tickets capturing payment information, and electronic miscellaneous documents (EMDs) with the list of purchased ancillaries. These documents are created in the legacy EDIFACT format used across the airline industry. Moreover, they are stored in different back-office systems, which adds complexity and increases expenses for carriers. In a ONE Order world, all travel data in question will be captured in a single XML file by a single system. This will make things far easier for all providers and travel agents. IATA expects that its initiative will see widespread adoption by 2025. But even if these expectations are too optimistic, there won't be any backtracking. Have you booked flights on line?

Ever used a third party web site to book cheap flights and wondered if you really have a reservation? With check my trip, all you need is the airline booking reference or passenger name record (PNR) and you can use this app to verify your booking, check flight status, etc. A great way to have a little more confidence in your reservation platform.

Not sure I’ve ever seen an app ruined this completely

The short version: just don’t bother. Used to be a great app/service, but the updated app is a buggy mess that doesn’t work properly (if you can even get past the terrible UX). The longer version: The new interface - trying to funnel everything through a chatbot - is atrocious. This can be done well, but this is not one of those examples. It would be painful to use vs a traditional UX even if it worked properly (which it doesn’t). And more importantly, the app is so buggy it’s essentially useless. The two trips I’ve tried to add via the ChatBot failed (telling me the reservation number is wrong or the not in the airline’s database - which in both cases is false). Finally got the first trip added by forwarding the confirmation email - but somehow it shows up in the app with the second flight completely wrong (correct flight number, but showing a different destination and arrival time than reality). Second trip I forwarded the confirmation email, got the auto response saying it had been added… but it doesn’t show up in the app, despite waiting a while / refreshing / force restarting. Gave up at that point and moved on to other services. Suggest you do the same immediately, you’re probably just wasting your time otherwise.

New Version - Still Woeful Compared to pre March 2023 - A Downgrade

Version 7.0 - you would think that they would bring back the functionality they had in version 6.9 and before, but no. The digital assistant is there but still useless. You can’t just add the booking reference as you used to before (v 6.9 and before). No you should forward / attach the confirmation email or enter the trip manually. The system fails to recognise even the most simple of itineraries. Manual entry is tiresome and defeats the purpose of this app compared with the ‘Tripxxx’ apps. Entering a flight number and date takes three steps but they assume you are doing the whole flight not departing or arriving in intermediary destinations (QF 9 for example). Of course all the additional detail we used to have simply by having the booking reference, seat changes, flight changes, etc, are not included. Once again this app as it stands now remains a complete downgrade to what it was before (v6.9 and before). Other apps are able to read itineraries much better and track your travel status. You would think that an app developed by the booking system developer would be better, as it was before. And useful, but no …..

You can also request automatic check-in before the check-in window is open. With our partner Airobot, you can choose to prefill or fill out a check-in form and once the check-in window is open you will receive the boarding pass via email (usually 24 hours before the flight).

Please note that this is a paid service in collaboration with our partner, Airobot. If there was a problem with your check-in you will receive an email notification and information about your refund.

You cannot store or print electronic boarding passes in CheckMyTrip. For any questions related to your boarding pass, contact your airline or travel provider directly.

You can see your ticket number in the trip details. However, you cannot access electronic tickets directly in CheckMyTrip. Questions regarding your electronic ticket should be addressed to your airline or travel provider.

You cannot change or select seats directly in the app. You must contact the airline or travel provider directly to reserve or change your assigned seat.

If you require more details regarding baggage allowance (like cabin baggage allowance or maximum permissible weight of a checked-in bag), contact your airline or travel provider directly.

There are 3 ways to add your trips: 1. Simply forward your booking confirmation emails to [email protected] and we will import your trip details for you. Just make sure that the email you are forwarding from is the same email that is associated with your CheckMyTrip account.

2. Via the CheckMyTrip digital assistant: If your trip is booked through the Amadeus Booking system (by travel agencies or airlines using Amadeus), you can share the 6-digit booking code with the digital assistant to automatically import it. Please note that to import trips with a booking number the trip reservation email, first and last name need to match the email, first and last name registered in CheckMyTrip. On the CheckMyTrip app settings page, you have the possibility to update your first name and last name.

3. Via the CheckMyTrip digital assistant: You can share the trip details with the digital assistant to add it for you

Account Management

When you install the app, you can register with your email address and click on the “Continue” button. After providing your First and Last Name click on “Register”, and you will receive an email with an activation link to validate your email address within 24 hours. Once the validation is complete, you can log in to CheckMyTrip.

When you first create an account, an email is sent to the email address you provided with a code to activate your account. The activation link is valid for the next 24 hours. If you did not receive the activation email or did not click on the link provided in the email, you can enter your email and click “Continue” to receive a new activation link. Please note that if you haven’t logged in to the app for more than 2 years, your account may be deleted. At CheckMyTrip your privacy is important to us – we want to ensure we only keep personal information that is needed. To continue using CheckMyTrip, you can simply create a new account.

Your login identifier is the email address you registered with. If you want to change your email address, you need to create a new account with the new email address. Please note that you will have to re-import all your future trips (past trips can be imported if they have not been purged from the system) using the new account.

Digital Assistant

There are some cases in which the digital assistant is unable to automatically import your trip with a booking number. These might be: – the booking number is incorrect – the booking is not done in the Amadeus booking system (booking is done through travel providers that are not customers of Amadeus solutions) – the booking was done with a different email address or first and last name than the one you are registered with in CheckMyTrip. In case the digital assistant is not able to import the trip with a booking number, you can add a trip by forwarding your booking confirmation email to [email protected] or by sharing the trip details – departure date and flight number and the assistant will create the trip for you.

CheckMyTrip works with trusted partners to provide additional travel services. If you are experiencing an issue with a booking or you have questions – please contact the service provider directly. You can find the contact details in the email confirmation you have received after the booking.

Trip display​

Bookings done on the Amadeus booking system (by travel agencies or airlines using Amadeus) are automatically updated in CheckMyTrip. For bookings made on non-Amadeus systems/providers, we do not receive the updates. Hence you need to send your updated booking confirmation email, which includes the modifications to [email protected]

Open the trip you want to remove and use the “Delete this trip” option at the bottom of the trip itinerary. Note that removing a trip from your trip list has no effect on the actual booking itself.

A booking reference number (also referred to as a “PNR ” or “Record locator”) is a six-digit code containing letters and/or numbers. You will find your booking reference number on your ticket or in the confirmation email provided by your travel provider.

If you get the message “Your booking cannot be retrieved because it might have been cancelled “, contact your travel provider directly.

Please note that CheckMyTrip only displays information about your trip. If your booking was cancelled or modified, please contact your travel agency, airline, or the company you purchased your tickets from. CheckMyTrip cannot do that for you.

If CheckMyTrip receives updates for your flight, all information will be: – Displayed in your trip list – Displayed in your trip details – The Digital assistant will notify you with the change

You are not able to see other passenger information in your trip details – there are privacy-related constraints that prevent us from displaying personal information in multi-traveler bookings.

Please note that CheckMyTrip aims to store and display all your past trip history. However, in certain cases CheckMyTrip might not be able to display trips that are older than 2 years. We apologize for the inconvenience it may cause.

Trip import

Only bookings made on the Amadeus booking system (for travel providers that are customers of Amadeus solutions) can be imported through the manual import feature. Please note that to import trips with a booking number the trip reservation email, first and last name need to match the email, first and last name registered in CheckMyTrip. On the CheckMyTrip app settings page, you have the possibility to update your first name and last name. You can forward your booking confirmation email to [email protected] from the email address linked to your account and the details of your trip will be automatically added to your trip list. Alternatively, you can provide the trip details and dates to the digital assistant to add the trip for you.

The error response suggests that your booking provider is not yet supported by CheckMyTrip. Also, double check that you are sending the booking confirmation email from the email address associated to your CheckMyTrip account. You should also avoid automated signatures inside an email forward, the analysis can fail due to this extra information.

When you forward your confirmation email, it might be that some information cannot be integrated into CheckMyTrip. Your booking confirmation email should always remain as your reference. We are continuously improving CheckMyTrip to avoid such discrepancies.

If you forward a booking confirmation email to CheckMyTrip [email protected], the trip will automatically be saved to your trip list. If you import a trip using the booking number, please ask the digital assistant to “add a trip” and provide the booking number and your trip will be automatically imported in the app. If your booking number is not recognized, please select the option “Add a trip manually” and share your departure date and trip information. The digital assistant will create the trip for you.

You cannot store your boarding pass in CheckMyTrip app. If you have problems checking-in or getting your boarding pass, please contact the airline, your travel agency, or the company you purchased your tickets from.

Online check-in is something that can be completed between 24 hours to 90 minutes before your flight using the Turkish Airlines website or mobile application. You can easily check-in online by entering your reservation code (PNR) and surname in the relevant field.

What is the advantage of checking in online? Learn more

By checking in online, you do not need to wait in line at the counter to check-in at the airport and you can easily choose the seats you prefer as long as they are included in your flight class. If you have no suitcases or only hand luggage, you can go directly to the boarding gate.

If you have checked in online, you can go to the appropriate Turkish Airlines counter to get your boarding pass and check in your baggage. You must complete these procedures 60 minutes prior to international flights and 45 minutes prior to domestic flights. We recommend that you plan your arrival time at the airport by considering these procedures as well as security checks.

Passengers who pre-print their boarding pass or create a mobile boarding pass can go directly to the boarding gate by passing through the security check if they have no baggage or only hand luggage.
