Our passion is assisting travelers with quality, high-value vacations, and to do so, we match you with an expert Travel Consultant that has dedicated her/his life to learning the travel industry. Your Consultant will create a vacation experience that is best for you based on your travel style, budget and desired experience.

We have built great partnerships with many destinations, brands, suppliers, and the like. Some suppliers, tourism boards, etc. pay us to promote their area and brands, and some pay us for trusting them with our clients. Of course not all brands, products and services compensate us for our time and expertise. Airlines are a good example of this. However, our priority is you, the client, and providing you with the best vacation options to create your ideal trip. We pride ourselves on matching you with the best components for your trip – not pushing services that aren’t really a good match for your travel plan.

We answer the phone when you call, and promise to never leave you on hold for 3 hours, or transfer you to 5 different associates just to be told that you can’t be helped. We are here for you 24/7 and will gladly assist you should you require assistance during your travel. Our customer service is well beyond the norm.

To make sure that our clients receive the utmost service and care, we ask for a commitment from you to be prepared to book if you are requesting quotes and services from us. Our  Client Registration Form and Credit Authorization Form is required to begin a working relationship with an Anywhere But Here Travel Advisor. You can start the process by scheduling a Discovery Call and we will call you to discuss your travel needs and explain our services and fees.

Our Consultation Fee includes a Planning/Proposal Session with your Travel Consultant Expert (either in person at our office or over the phone) plus the research and creation of your travel itinerary. If you choose to book your travel package with us, it also includes our support before, during and after your travel. Additional fees will be charged if your travel plans change dramatically during the consultation process. See below for all the different Consultation Fee options.

We also offer a military discount of 20% off on all consultation fee services. Proof of service is required. Also, some of our travel partners offer a military, police and firefighter discount as well so make sure you let us know right away when you contact us !

Finally, let us know if you are planning your honeymoon as we offer honeymoon travel concierge services. If you are traveling to celebrate your recent marriage, we can provide special touches and extra amenities that only are available to honeymoon travelers. Domestic Travel Consultation

This includes travel within the United States (including Alaska, Hawaii and Puerto Rico). Some destinations are considered “domestic” if you are traveling to Canada and some resorts in the Caribbean. Please contact us  for more details.

International Travel Consultation

This includes travel for most international destinations like Europe, Asia, Australia, South Pacific, etc.

  • Starts at $100 additional per city visited
  • Includes flight research and booking*

Cruise Consultation

This includes cruises that depart within the United States (including Alaska & Hawaii), cruises to the Caribbean, Mexico, and any river cruises. The price includes the research of multiple cruise lines and up to 5 quotes to review. Additional fees may be charged if we plan your custom pre- or post-cruise travel.

All-Inclusive Resort Consultation

This includes travel to a single location at destinations like Mexico, Jamaica and some areas in the Caribbean. It also includes up to 3 quotes per location.

Villa Rental Travel Consultation

We offer private home and villa rental options which can include hiring staff (cooks, chefs, spa, etc.) and other in-villa services. We can also arrange for tours and private transfers since, oftentimes, the villas are located in gated communities or these services are provided by the villa staff.

  • Starts at $499 for a single location/country
  • Additional fees will be assessed depending on the level of villa services that you wish us to manage.

Honeymoon Travel Consultation

Are you traveling for the purpose of celebrating your recent marriage? We offer honeymoon travel concierge services where we provide special touches and extra amenities that only are available to honeymoon travelers. Often, a recent copy of your wedding certificate is required for these extra perks. Read more about how we make your honeymoon memorable.

Group Travel Consultation

This includes travel with a group of people (family reunions, multi-generational travel, incentive groups, reward trips, destination weddings and more) and it starts with 6 people or more people in your group.

  • Starts at $299 for All-inclusive resorts (6-12 people)
  • Starts at $399 for Cruise destinations (6-12 people)
  • Starts at $399 for Domestic destinations (6-10 people)
  • Starts at $699 for Theme Park destinations (6-10 people)
  • Starts at $799 for International destinations (6-10 people)
  • Please  contact us for a fee estimate if your group requires more than 10-12 people.

Escorted/Guided Tour Consultation

An escorted or guided tour is traveling with a group of people and you have a preset itinerary that cannot be changed or modified. It usually includes a guide or destination expert which gives insider information at each location visited. An additional fee applies if we need to research multiple tour itineraries. If you have a tour already in mind, this is also the fee we charge to help manage your information with the tour operator. It also covers our agency support before, during and after your travel.

Additional fees may be charged if we plan your custom pre- or post-cruise travel.

  • Starts at  $99 for a maximum of 3 quotes

QUICK TURN AROUND SERVICE

If your travel request is within 30-90 days of your requested departure date, we may charge an additional quick turn around fee on top of the consultation fee. This fee will be advised during your Discovery Call with us. This additional fee will depend on our current client load, the type of trip you wish to take and if your travel dates fall over a major holiday or other high demand season. 

  • Starts at $100 additional for consultation fees less than $498
  • Starts at $200 additional for consultation fees $499 or higher 
  • Starts at $200 additional for holiday travel

Airfare Tickets

Our prices for many international, business or first class airfare tickets can be the same or less even after you include our fees. Your Travel Consultant will advise you in advance if your travel requires additional airfare research/booking fees.

  • Starts at  $50 for airfare research/booking* (per person/ticket)

*Airfare research and booking have limitations on the number of flights and routes included.

Change & Cancellation Fees

  • Starts at $200 per person for cancellation of your travel package after deposit is made
  • Starts at $100 per adjustment for any major changes to your deposited travel package

Elements to Cover in Your New Client Information Form

While the main purpose of this form is to log important client info, keep in mind you want to go further into details to get a good grasp of how many travelers are part of the group, where they're looking to go, and all the information you will need to provide a proper quote.

While the specific questions you include may vary depending on the services your travel agency provides, you can use the following essential elements as a guideline and include your own questions. Here are some must-haves elements for your client information form

Basic Traveler Information

Begin your client information form by asking for the traveler's personal details such as full name, date of birth, address, phone number, and passport details (number, country, expiry date). You should also ask for an emergency contact including full name, phone number and relationship. For any other passenger aside from the main contact, ask for basic traveler details such as name, age and military service status (for discounts).

Travel Details

Next, gather all the fundamental travel details to discover the client's preferences, projected dates and other helpful insights into what a perfect holiday looks like to them. Here are some questions you may include in this section.

- Where do you intend to travel?

- What are your estimated departure and arrival dates?

- What is your budget for this holiday?

- What are your goals for this vacation?

- Do you want a more intimate experience or do you want more action and nightlife?

- What are your priorities for family vacation activities?

- What do you like best about your chosen vacation spot?

Special Requirements

To ensure the best service for the travelers, inquire about any special requirements the group may have regarding food, lodging, recreation or special accommodations people might need during the trip. Consider including the following questions in your travel agent form.

- Are you celebrating any special occasion during this trip?

- Do you or anyone else in your group follow a specific diet or have food allergies?

- Do you need us to set up airport shuttles for you and your guests?

- Do you have a preferred airline, hotel, or car rental agency?

- Are there any preferences in the group regarding airplane seating? (window vs aisle)

- Do you have any requirements regarding bedding? (King, two queens, etc...)

- Are there any special needs in the group? (wheelchair access, difficulty walking, etc...)

Past Traveling Experiences

Travelers Medical Information

Trip planning requires travel agents to take adequate precautions regarding the travelers' health. If anyone in the group has a serious medical condition or physical limitations that could endanger their life while on the trip (especially when planning excursions), you should take appropriate action or even consider canceling the person's tour. Here are some questions that will help you gather this important client information.

- Do you or anyone in the group have a health condition we should know about?

- Does anyone have any physical impediments that must be taken into consideration when planning excursions? Please provide details.

Understand the Client's Vision

Booking travel for others is a unique skill that demands a deep understanding of your client's desires. The first set of qualifying questions revolves around the basics of understanding what they want their vacation experience to look like.

  • Destination: Where do they want to go? This helps you determine if it aligns with your expertise and if it's a suitable match for your agency.
  • Group Size and Composition: How many people are traveling? Are there adults, children, or a mix of both? Knowing this sets the stage for tailoring the experience to their specific needs.
  • Travel Dates and Flexibility: When do they plan to travel, and how flexible are their dates? Understanding their flexibility allows you to suggest alternative dates that might be more cost-effective or less crowded.

Digging Deeper: Accommodations and Budget

Travel Agents, Here’s How to Qualify Clients

You may be thinking, Yay! I’ve got a client lead . . . now what?!

When it comes to the entire sales funnel of booking travel, there’s a lot of steps advisors need to take in order to complete the sale. So we’re writing a 5-part series on travel agent booking basics! Hurray!

The first step is Qualifying Clients. Ready for the deep dive? Good. So am I.

Qualifying Clients

After you’ve done your phenomenal marketing and clients start to come your way, the first step is to qualify your client. This is done with your initial client contact, whether that contact be over email, phone or if they walk into your office (hey, it still happens!)

Your goal as a travel advisor is to get to know your client to help them dream and scheme. If your client knows exactly what they want, this might be a pretty quick step. But heck—you’re a travel advisor! So probably your client is coming to you because they have brain fatigue from falling into the black hole of Google trying to plan their trip. After all, YOU have the expertise, not them (and definitely not Booking.com!).

When you begin to qualify clients, there are two main goals:

1. Determine if you are a good fit for that client and vice versa:

It’s scary to turn away clients, especially if you’re just starting out. But having a niche is crucial to helping you manage your time and develop expertise.

If your passion is booking destination weddings, honeymoons or babymoons in Jamaica, and someone comes in asking about a family trip to Ireland, it’s unlikely it’s worth your time, effort, and sanity to take the time to learn a new destination and book that trip. (More on that very soon.)

When you’re thinking if a client is a good fit, consider these factors:

  • Do they have skin in the game? You don’t want a client who is price shopping. While it’s normal for clients to want to get a few quotes from agents, you want to prevent the heartache of having a potential client use all your time to put together an itinerary only to book it through an online travel agency (OTA).
  • Are they asking for a trip that fits with your niche expertise? (If not, is it advantageous for you to learn the new type of travel?)
  • If they don’t book a trip with you, can you use the information for current or future clients? Even if clients have to pay a fee, and they end up walking away from you quote, consider if you can reuse or repurpose the work you put into that trip by either cannibalizing the itinerary and incorporating into future trips or using the entire itinerary for someone else.
  • Were they referred to you? Who referred them? If they weren’t referred to you, how’d they find you?
  • Does their budget fit your agency model? You never want to assume what a client’s budget is. But you want to ensure they have realistic expectations on what they can expect to spend for the type of travel you’re willing to book.

2. Get an idea of what kind of trips you will research for your clients:

You want qualifying your clients to be as thorough as possible so you can spend less time second-guessing during the later processes of researching and booking their travel.

Does qualifying your client take time? Yes. But thoroughly qualifying your clients will also enable you to have less back and forth when you research suppliers to create potential itineraries. Plus, if (WHEN) they become a repeat client, the time investment of getting to know your client will really pay off in the long run.

Essentially, the type of info you need when qualifying a client is a blend between the logistics of travel and the client’s ideal type of trip.

When qualifying your client, you want to get a feel for what kind of trip your client wants including logistical information such as budget, group size, type of group, travel dates, and other travel preferences, including (but not limited to):

  • Dates available
  • Duration of trip
  • Destination
  • Number of travelers
  • Group size (if applicable)
  • Type of trip (Beach bumming? Adventuring? Culinary?)

Client travel preferences:

  • Bucket list/ dream vacations (if money weren’t an object)
  • Travel Preferences
  • Hobbies and interests
  • Must-do activities
  • Previous trips

Ugh! How do you manage your time and keep track of all of this info! We have just the thing(s).

Technologies/ Automations to Help you Qualify Clients

There are two main ways you can help streamline the process of qualifying clients:

1. Include HAR’s travel interest survey form on your website:

Before you extensively chat with a client on the phone, you can get a lot of preliminary information that will make your conversation with them even more productive (and will also focus on your expertise as a travel agent).

Our free travel interest will go over all the logistical aspects of what a client is looking for in a trip before you schedule your initial call with them.

A few things: In order to use the template above , you'll need to start a Jotform Account. The free plan comes with everything the paid plans offer (encrypted forms, payment processor, signature fields, etc.) as well as unlimited fields. It just limits the amount of forms (5), amount of monthly submissions (100), and amount of total submissions (500). For many smaller agencies, those amounts should work for awhile!

The travel interest survey will give you an idea of the logistics: How many people? What is the occasion? When/ where do they want to travel? What is their general budget? Etc. Knowing this before you invest time in a phone call will save you a lot of headache and heartache.

It will help you gauge a client’s interest level and save you a ton of time on lengthy phone conversations with clients. Including JotForm, here’s a few other options for client forms:

  • Jotform - Free! Our personal fav and the one we use at Host Agency Reviews. We used JotForm to create all of our form templates for our Free Travel Agent Forms article including this form.
  • Acuity Scheduling: Acuity is an appointment-scheduling app (see below), but it also includes a “client intake form” you could use to create an interest survey for clients to fill out when they schedule a call. If you want to have multiple forms for clients to fill out—such as a service fee forms, contract for services, trip confirmation details etc.—that are not attached to scheduling appointments, this may not be the best fit for you.
  • DocuSign: Fees start at $10/mo, or $25/mo if you want to send more than 5 documents for signature per month. (Jamie uses this form, and her templates look GREAT).
  • Adobe: $9.99/ mo send requests for the individual plan (where you can send e-sig requests to clients). Thanks to Lisa Wood Rossmeissl who commented below about this resource!

2. Enlist in a call-scheduling program or software

Once your clients fill out their travel interest form, the next step is to schedule an initial consultation with them. Adopting an appointment scheduling program will take out the time going back and forth with the client trying to schedule an appointment.

The scheduling apps/extensions will put the ball in the clients’ court, allow you to set the days/ hours you’re available for calls. Here’s a few options:

  • Acuity: Has a free scheduling app that you can embed on your website so clients to schedule. For $15/month, they offer features like time zone conversions, appt. Reminders and ability to brand to your business. Acuity also has a “client intake form” you could use to create an interest survey for clients to fill out when they schedule a call.
  • Calendly: Provides a free basic scheduling app. That integrates with Gmail. If you want to get a little fancier, it’s $8/month for added features (such as removing Calendly brand, etc.)
  • HubSpot: Another meeting scheduler that can integrate with Gmail. They have a free version, but packages go up quick to $50/month from there.
  • Assistant.to: This is an extension program you can add to your Gmail. When you send an email, you can embed meeting times directly into the email that they can click on to schedule. The downside is that it won’t integrate to your website, so it can only be used over email.

Tips on Qualifying Clients

At the travel agent forum, agents and suppliers offered a few tips on successfully qualifying clients. Here’s what they had to say:

  • Ask open-ended questions: It’s hard to say “no” to an open-ended question. If you ask a client if they want transfers, they can easily say no. If you ask what their preferred transportation from airport to the hotel is, then you’re opening them up for a conversation about how you can build transfers into their trip budget. What are some open ended questions you can ask?
  • Why are you interested in the destination you indicated on your Travel Interest Survey (this can help you provide options for destinations they may not have thought of that have the same qualities).
  • What were the highlights and lowlights of your last vacation?
  • If budget weren’t an issue, what kind of trip would you take?
  • What about a vacation makes you feel relaxed? Feel revitalized? What qualities are you looking to experience from this vacation in particular?
  • What kind of activities would you like to do on your trip? What makes these activities important to you? (If you know the root of why they enjoy certain activities, it will help you use your expertise to offer additional/comparable activities)
  • Listen to your clients (and prove it): Beyond the Travel Interest Survey, when you are asking them the open-ended questions, take notes and send them a recap of your conversation when it’s complete.
  • This is a practice that is common of consultants and adds a professional touch. But it also provides them an opportunity to clarify any misunderstandings before you begin researching tips. Not only that, but you will show that you’re invested in their trip and that will entice them to book with you.
  • Inform them of next steps (and your enthusiasm to move forward): When you’re completing qualifying your client, let them know what they can expect from you and what the next steps are. It may seem obvious to you, but it’s not to your client (especially new ones!)

If You Charge Consultation Fees

During your initial contact with a potential client, you’ll want to let them know IF you have any consultation/ planning/ booking service fees. You can either communicate this through your conversation with them or by directing them to a page on your site that outlines your fees. The important thing is that they actually read and understand it.

If you use an appointment-scheduling or form-building program, they may have the ability to accept payments (such as Acuity or JotForm). But even if you choose not to accept any initial payment at this time, this is when you’ll need to inform clients of any fees that don’t pertain directly to their travel.

If you have fees let clients know:

1. What is your fee structure and payment schedule (how much do they need to pay to retain your planning services?)

2. How many trip options/price points you are able/willing to research for them?

3. If you have any waivers/ fee agreements they need to sign. (Psst: If you have fees, this is a really good idea)

How to Qualify Clients, Live Audio!

DeJuan Shorter, The Timely Traveler

Okay, this all sounds really good in theory right? But wouldn't it be nice if you could actually eavesdrop on an expert agent qualifying a client? Well you're in luck, because HAR has a very brave volunteer who is letting us do just that. Let me introduce to you, DeJuan Shorter, owner of The Timely Travel .

DeJuan recorded a chat with one of his clients, Sarah, who is planning a honeymoon to Maui. Just for a little context, DeJuan was chatting with Sarah after she filled out the travel form and before the planning fee was submitted. Here's a few things I love about DeJuan's audio (don't worry, I won't give away any major spoilers!):

  • He expresses thanks for Sarah's business and time
  • He values her time (accommodates to the fact that she is on her way to work)
  • He confirms the larger details he needs to get planning like a boss: destination priorities, budget, duration
  • He gets familiar with what resort style she wants
  • He shows that he paid attention to her travel form and is listening by echoing and affirming some of the activities that are important to her and offer recommendations on other activities she may like based on what she filled out in the form.
  • He gets a sense of what Sarah's transport preferences are, and gauges what level of adventure she wants and how much balance she seeks between activity and relaxation.
  • He mentions that he will offer restaurant recommendations and a map with recommended sights based on her interests
  • He is very clear and concise about next steps, let's Sarah know what she can expect from him in terms of itinerary ideas and timeline and irons out expectations with budget to make sure they're on the same page
  • He offers ideas for tours (without getting too specific in terms of operator so a client couldn't turn around and book it)
  • He does this all in 8min!!!

Phew. That was a ton of info to take in. Here it is condensed into a tiny little article vitamin (just like you’ll be recapping convo’s with your client!)

  • Have the potential client fill out a travel interest survey to make sure they’re a good fit for your agency model/ niche. From this form, you should understand the basic logistics of the trip they’d like to take.
  • If you need to turn away the potential client, do it as soon as you can! Try to refer to them to an agent that will better suit their needs.
  • Schedule a time to have an initial consultation with the prospective client over the phone, Skype, or in person to go into more depth about what kind of experience they’d like to have on their vacation.
  • If you have fees for your initial consultation, ensure that your client is abundantly aware of this before you chat. If they submitted payment for the initial consultation, you’re amazing customer service will make them forget they paid you! If your consult is free, but you charge for planning itineraries, you can tell them during your phone call.
  • After you speak with your client, send them a recap of your conversation (from the great notes you took while chatting).
  • Send potential clients a thank you and Inform them of next steps!
  • Follow up a few days after you spoke with them if you haven’t heard from them.
  • If you see interesting articles or blog about their potential destination or type of travel, send it to them and to let them know their trip is on your mind.

Lena, our guide in Moscow was excellent. She was very knowledgable and could answer any question we had for her. We liked that she could pick up on our interests and take us places we might not have thought of to go. When we realized that one of the places we had chosen to see would probably not be that interesting to us, she was able to arrange entry to the Diamond Fund and the Armoury for us. Riding the Metro with Lena was a real adventure and a lot of fun. In Saint Petersburg we found Anna well versed in the history of the Tsars and in the Hermitage collection. Arkady in Veliky Novgorod was a very good guide and answered all of our questions with ease. Novgorod was perhaps a long way to go for a day trip, but we did enjoy it. Vasily was a great driver to have and kept us safe with good humour and skill. We enjoyed ourselves so much, my daughter says she is already planning to return. We would both have no hesistation to recommend ExpresstoRussia to anyone we know.

Just wanted to let you know that My grandson Bruno and I couldn´t have been more pleased with our week in Moscow (6/15 - 6/21). We were absolutely enchanted with the whole experience, including getting lost a couple of times in the Metro during our free time. Although both our guides (both Eleanas) were excellent, I would particularly commend the first one (she took us to the Tatiakov, the KGB tour, and to that beautiful cemetery where so many great Russian artists, authors, composers, musicians, militarists, and politicians are buried). Expedite Requests

ALERT:  If you are a healthcare worker or a childcare worker

If you are a healthcare worker or a childcare worker

  • Who has a pending Form I-765, Application for Employment Authorization, initial application, which has been pending for over 90 days; OR
  • Who has a pending Form I-765, Application for Employment Authorization, renewal  application and whose Employment Authorization Document (EAD) expires within 30 days or less, or has already expired:

Call the USCIS Contact Center at 800-375-5283 (TTY 800-767-1833) to request expedited processing based on your position as a healthcare worker or a childcare worker with an EAD application that meets the above criteria.

To determine whether you are a qualifying healthcare worker, see this  DHS advisory memorandum (“Healthcare/Public Health” section, pages 7-9) (PDF) .

To determine whether you are a qualifying childcare worker, see the  Standard Occupational Classification (SOC)  code 39-9011, which includes workers who “attend to children at schools, businesses, private households, and childcare institutions” and “perform a variety of tasks, such as dressing, feeding, bathing, and overseeing play.” (Note that this definition does not include preschool teachers or teaching assistants.)

Be prepared to provide evidence of your profession or current or immediate prospective employment as a healthcare worker or a childcare worker and current valid immigration status. If the evidence you provide is not sufficient, we may not accommodate your request for expedited processing of your Form I-765.

You may request that USCIS expedite the adjudication of an application, petition, request, appeal, or motion that is under USCIS jurisdiction.

We consider all expedite requests on a case-by-case basis and generally require documentation to support such requests. The decision to expedite is within the sole discretion of USCIS. Expediting your case generally means that we would adjudicate your benefit ahead of others, including those who may have filed earlier, so we carefully weigh the urgency and merit of each expedite request.

Relevant criteria or circumstances that may be considered in determining whether to grant an expedite request include, but are not limited to, the below:

  • Severe financial loss to a company or person, provided that the need for urgent action is not the result of the petitioner’s or applicant’s failure to timely file the benefit request or to timely respond to any requests for evidence;
  • Emergencies or urgent humanitarian situations;
  • Nonprofit organization (as designated by the Internal Revenue Service (IRS)) whose request is in furtherance of the cultural or social interests of the United States;
  • Government interests, including cases identified by the government as urgent because they involve the public interest, public safety, national interest, or national security interests; and
  • Clear USCIS error.

Not every circumstance that fits under the criteria or examples above will result in expedited processing. See more information below on expedite criteria and circumstances. For USCIS’  expedite policy guidance , see Volume 1 of the USCIS Policy Manual.

Note:   The processes and requirements for requesting expedited adjudication are different for some application types and circumstances. Refer to the chart in the Specific Procedures section of this page for more information about expedite requests related to:

  • Appeals or motions
  • Refugee status
  • Petition for refugee/asylee relative
  • Humanitarian parole
  • T nonimmigrant status
  • U nonimmigrant status
  • Other benefit requests pending with offices outside the United States

A company can demonstrate that it would suffer a severe financial loss if it is at risk of failing, losing a critical contract, or required to lay off other employees.

Job loss may be sufficient to establish severe financial loss for a person, depending on the individual circumstances. The need to obtain employment authorization, standing alone, without evidence of other compelling factors, does not warrant expedited treatment.

Examples may include:

  • A medical office that may suffer severe financial loss if a gap in a doctor’s employment authorization would require the medical practice to lay off its medical assistants.
  • A person who would lose critical public benefits or services.

In the context of an expedite request, an emergency or urgent humanitarian situation is a pressing or critical circumstance related to human welfare. Human welfare means issues related to the well-being of a person or group. Examples include, but are not limited to, illness, disability, death of a family member or close friend, or extreme living conditions, such as those caused by natural catastrophes or armed conflict.

NOTE:  Certain benefit requests, such as asylum applications, refugee applications, and requests for humanitarian parole, by their nature involve urgent humanitarian situations. Therefore, filing a humanitarian-based benefit, standing alone, without evidence of other time-sensitive or compelling factors, generally may not warrant expedited treatment under this criterion.

Examples of emergencies or urgent humanitarian situations may include:

  • A vulnerable person whose safety may be otherwise compromised.
  • Healthcare workers who are needed during a pandemic.

Travel-Related Requests

USCIS considers expedited processing of an Application for Travel Document ( Form I-131 ) when there is a pressing or critical need for an applicant to travel outside the United States.

Expedited processing of a travel document may be warranted when there is an unexpected need to travel outside the United States for an unplanned event, such as for a funeral. Expedited processing of a travel document may also be warranted when there is a pressing or critical need to travel outside the United States for a planned event, but processing times prevent USCIS from issuing the travel document by the planned date of departure. When there is a request to expedite processing of a travel document for a planned event, we will consider whether the applicant timely filed  Form I-131 or timely responded to a request for evidence.

NOTE:  A benefit requestor’s desire to travel solely for vacation generally does not meet the definition of a pressing or critical need to travel.

We generally require documentation to support an expedite request. Examples of evidence that may support travel-related expedite requests are outlined in the following table.

Examples of a pressing or critical need to travel outside the United States may include:

  • A requestor who has a pressing or critical need to travel outside the United States to obtain medical treatment in a limited amount of time.
  • A requestor who has a pressing or critical need to travel outside the United States due to the death or grave illness of a family member or close friend.
  • A requestor who applied for a travel document 5 months ago when they learned of the event, but their case remains pending, and they must travel for a pressing or critical professional, academic, or personal commitment, which is now in 45 days.

A nonprofit organization seeking to expedite a beneficiary’s benefit request must demonstrate an urgent need to expedite the case based on the beneficiary’s specific role within the nonprofit in furthering cultural or social interests (as opposed to the organization’s role in furthering social or cultural interests).

  • A professional who is urgently needed for research related to a specific U.S. social interest.
  • A university professor urgently needed to participate in a specific and imminent cultural program.
  • A religious organization that urgently needs a beneficiary’s specific services and skill set to continue a vital social outreach program.

This includes cases identified as urgent by a federal, state, tribal, territorial, or local government of the United States because they involve public interest, public safety, national interest, or national security interests. The request must be made by a person who has authority to represent the agency or department, such as an official, manager, supervisor, or tribal leader, on the matter for which expedited treatment is being requested. The request must demonstrate that the interests are pressing and substantive.

Where a federal agency or department is able to state a federal government interest in accordance with these criteria, we generally defer to that federal agency or department’s assessment.

If the request relates to employment authorization, the request must demonstrate that the need for the applicant to be authorized to work is critical to the mission of the requesting agency or department, and goes beyond a general need to retain a particular worker or person.

  • A noncitizen victim or witness who is cooperating with a federal, state, or local agency and needs employment authorization because the respective agency is seeking back pay or reinstatement in court proceedings.
  • A noncitizen scientist whose contributions are needed by a government lab or grantee.

USCIS may consider an expedite request based on clear USCIS error when a requestor establishes an urgent need to correct the error.

An example may include:

  • An applicant who receives an Employment Authorization Document with incorrect information that prevents them from being able to work may request a replacement document on an expedited basis if we caused the error.

You generally may request we expedite your case after you receive a receipt notice. (The process to request an expedite is different in some circumstances. See the Specific Procedures section below.)

Before submitting an expedite request, you should:

  • Check current  case processing times to determine whether you need an expedite.
  • Check your  case status online . If there is an action on your case pending with you, such as submitting biometrics or evidence, you should complete these actions before submitting an expedite request.
  • Check whether  premium processing service is available. We will not consider expedite requests for petitions and applications where premium processing service is available, unless the petitioner is designated as a nonprofit organization by the IRS and filing for a beneficiary whose services are needed to further the cultural or social interests of the United States.

Please make only one expedite request to reduce duplicate efforts and help us use our resources for quicker processing. Multiple requests may delay USCIS’s ability to expedite processing.

Expedite Requests for Travel Documents

If you are requesting expedited processing of a  travel document , you generally need to apply for and obtain the document before you leave the United States. You should make your expedite request on your pending application at least 45 days before you plan to leave the United States. (If you must travel within the next 15 days, see the  Emergency Travel page.)

For most cases, you may request an expedite by contacting the  USCIS Contact Center or by asking Emma.  (You can access Emma by clicking on the Ask Emma icon on the top right of this page). You need to explain why you need expedited processing. You also generally need to provide your receipt number to the USCIS Contact Center so they can send your request to the office that has your application or petition. If you have a USCIS  online account and have access to secure messaging, you may select “expedite” as the reason for your inquiry and submit your request there.

You generally need to justify your expedite request with evidence. When communicating with the Contact Center, you will be asked about supporting documentation. You should be prepared to supply this to the office processing your case.

If you have a USCIS  online account , you should upload evidence through your online account to support your expedite request in addition to calling the USCIS Contact Center. If you send a secure message, we will ask you to confirm that you have uploaded evidence in your account. If we receive an expedite request without evidence to support it, we will send you instructions on how to submit the evidence.

Note: The processes and requirements to request expedited adjudication are different in some circumstances. Refer to the chart under Specific Procedures below for expedite requests related to:

  • Appeals/Motions

Some programs and circumstances have their own processes and requirements for requesting expedited adjudication and may have different expedite criteria. You should follow the specific procedures referenced below for requesting an expedite in the following circumstances:

We receive a large number of expedite requests. We generally send a response to expedite requests that are submitted through the Contact Center. However, to increase efficiency in processing expedite requests, we generally do not provide justification for expedite decisions.

A decision on an expedite request is not an approval or a denial of your underlying benefit request. The expedite decision simply determines whether we will take your benefit request out of order and try to issue a decision (approval or denial) faster than the normal processing time. We cannot make a decision on your benefit request until all processing requirements have been completed.

Some circumstances may prolong or inhibit our ability to expedite certain benefit requests. Examples include, but are not limited to, when:

  • The benefit requestor must perform a certain action or submit additional documentation or evidence related to their benefit request, such as attend a biometric services appointment, be interviewed, or complete any required   immigration medical examination ;
  • There is a required background check that remains pending with a third-party agency;
  • An application or petition requires an on-site inspection; or
  • An application or petition depends on the adjudication of a principal’s application or petition.
